About the Role
The New York Times is expanding its video journalism and seeking a Video Production and Planning Coordinator to support the Shows department. This role will help pilot and scale new workflows, ensuring complex productions are organized, on schedule, and clearly communicated. The ideal candidate is familiar with video or audio production, detail-oriented, a multitasker, digitally savvy, and motivated by problem-solving.
Responsibilities
- Coordinate and track department projects from pre-production through post-production.
- Partner in product development to coordinate rollouts across show teams.
- Develop communications plans and support the implementation of new workflows.
- Draft call sheets and other production documentation for shoots.
- Communicate project status to stakeholders and leadership.
- Coordinate production handoffs between staff in different time zones or on varying shifts.
- Coordinate scheduling and production needs for podcast-video shoots.
- Coordinate Shows collaborations and related programming work.
- Build and maintain the Airtable daily.
- Send end-of-week assignment notes to producers.
- Ensure podcast videos and related clips are correctly entered, tracked, and updated in Scoop and other newsroom systems.
- Help organize launches.
- Identify opportunities to improve workflow, project tracking, and automated reminders.
- Manage workflow and process documentation.
- Provide support on shoots, including welcoming freelancers and coordinating with studio staff.
- Help with talent coordination and maintain the greenroom.
- Demonstrate support and understanding of journalistic independence and the company's mission.
Requirements
- Minimum 2 years of experience coordinating or planning in a newsroom or comparable editorial environment.
- Familiarity with Google Workspace, Airtable, Miro, and other project management tools.
- Proven organizational or project management skills, including experience tracking multiple projects and deadlines simultaneously.
- Basic data analysis skills and comfort working in spreadsheets.
- Experience working with or around audio or video production.
- Ability to manage multiple projects at once.
- Excellent interpersonal, oral, and written communication skills.
- Ability to communicate clearly with editors, producers, engineers, and other partners.
- Eagerness to work on a team that values trust, transparency, collaboration, and empathy.
- Passion for learning about new tools, video and audio journalism formats, and evolving audience habits.
- High-energy working style and optimistic attitude, with a keen sense of urgency and follow-through.
- Strong judgment about when to escalate issues, ask questions, or propose alternative approaches.
- Willingness and flexibility to work evenings or weekends when required.
