About the Role
Small Batch Delivery is seeking a hands-on Delivery Operations Manager to oversee daily delivery operations, ensuring smooth routes, timely deliveries, and vehicle maintenance. This role involves working alongside drivers, troubleshooting issues, and providing backup support.
Responsibilities
- Oversee day-to-day delivery operations, ensuring smooth routes and adherence to schedule.
- Coordinate daily routes, delivery schedules, and driver coverage.
- Monitor deliveries and address issues promptly.
- Complete daily closing procedures and operational reports.
- Conduct daily debriefs with drivers and communicate follow-up items.
- Serve as the primary point of contact for delivery drivers.
- Manage driver schedules, attendance, PTO, and daily coverage.
- Train and onboard drivers on company procedures, safety, and service standards.
- Provide ongoing feedback and coaching to drivers.
- Maintain a positive, professional, and accountable team culture.
- Serve as a backup driver when needed.
- Assist with deliveries or other operational needs as necessary.
- Oversee the condition and cleanliness of delivery vehicles.
- Coordinate routine maintenance, repairs, and inspections for vehicles.
- Address vehicle issues reported by drivers.
- Monitor vehicle-related systems, including GPS and temperature monitoring.
- Ensure vehicle registrations, licenses, and insurance documentation are current.
- Maintain cold-chain and food-safety procedures.
- Ensure drivers are trained in handling refrigerated and perishable products.
- Monitor product handling and address issues with damage, breakage, or missing items.
- Maintain standards for careful, professional, and white-glove delivery service.
- Hold weekly check-ins with Team and Quality Assurance.
- Maintain clear communication with drivers, customers, and management.
- Respond calmly and effectively to unexpected issues.
- Take ownership of problems and follow them through to resolution.
- Review daily delivery schedules and confirm no conflicts.
- Communicate with drivers throughout the day.
- Monitor delivery completion, including scheduled windows, photos, and instructions.
- Complete daily closing checklist.
- Communicate significant operational issues to the CEO.
- Confirm daily driver attendance and address call-outs.
- Manage driver schedules, PTO, and hours.
- Ensure drivers maintain a courteous and professional approach with customers.
- Investigate and resolve issues involving product damage, breakage, or discrepancies.
- Ensure drivers follow temperature-control and food-safety procedures.
- Follow up on recurring delivery issues.
- Conduct or oversee weekly vehicle cleaning and inspections.
- Ensure vehicles are returned in clean, safe, and good working condition.
- Coordinate oil changes, tire service, and other vehicle needs.
- Coordinate scheduled maintenance with leasing companies and service providers.
- Address driver-reported vehicle issues promptly.
- Troubleshoot operational equipment and systems.
- Liaise with the insurance company as needed.
- Oversee weekend farmers market delivery operations.
- Coordinate with weekend market managers and drivers.
- Monitor routes and delivery performance.
- Work with the CEO to incorporate new customers or stops into routes.
- Use Optimo and other company systems for schedules and delivery information.
Requirements
- Must be able to safely lift and carry up to 50 pounds.
- Must be comfortable loading, unloading, and handling refrigerated and perishable products.
- Must be able to spend extended periods on their feet and moving between vehicles, facilities, and delivery locations.
- Must be able to drive a delivery vehicle for an extended shift when serving as a backup driver.
- Must be willing and able to serve as a backup driver when needed.
- Must be comfortable working in varying weather conditions and in a fast-paced, hands-on delivery environment.
- Must be able to safely perform physical requirements while following safety procedures.
- Requires flexibility to respond to operational needs.
- Weekend availability is required.
- The role requires flexibility, as operational needs may occasionally require schedule adjustments, including early mornings, weekends, or staying later than originally planned.
- During the first year, the schedule may require additional flexibility.

- Familiarity with vehicle maintenance, scheduling, routing, or fleet coordination.
- Experience working in a small business or similar environment.
- Enjoy working in a small business and are comfortable being hands-on.
