About the Role

The Clinical Secretary provides essential administrative support within a healthcare setting, playing a vital role in patient care coordination through efficient office operations, appointment scheduling, and issue resolution. This position ensures compliance, accurate record-keeping, and excellent customer service.

Responsibilities

  • Provide office administrative support within a multi-disciplinary, team-based patient care process.
  • Answer phones and schedule patient appointments.
  • Process referrals and prior authorizations.
  • Resolve patient issues.
  • Verify patient eligibility and collect payments.
  • Ensure compliance and maximize reimbursement.
  • Interpret and apply knowledge of insurance benefits to patient needs.
  • Input, classify, and manage documentation in the electronic medical record system.
  • Perform diverse tasks to maintain an efficient and organized office.
  • Support physicians and nurses.
  • Participate in department meetings and identify process improvements.
  • Manage a demanding workload with accuracy and professionalism.
  • Provide excellent customer service to patients, families, staff, providers, management, vendors, and the public.

Requirements

  • Demonstrate skill in administrative support within a medical office setting.
  • Utilize Electronic Medical Record (EMR) systems.
  • Proficient in Microsoft Word.
  • Experience with insurer systems.
  • Efficient appointment scheduling.
  • Document classification.
  • Patient outreach.
  • Insurance verification.
  • Medicare Secondary Payor knowledge.
  • HIPAA compliance.
  • Show caring and concern for all patients.
  • Demonstrate a patient-centered approach to care.
  • Adhere to NCQA's Patient Centered Medical Home (PCMH) requirements.
  • Exhibit time management, keyboarding, and multi-tasking skills.
  • Develop and maintain collaborative working relationships with providers, staff, and Practice Management.
  • Work independently and demonstrate flexibility in decision-making and prioritizing assignments.
  • Exhibit leadership skills through active support of practice and system goals.
  • Guard the confidentiality of sensitive information.
  • Successfully complete Hospital orientation and department-specific orientation.
  • Live the CARES values at all times.
