About the Role

The Talent Operations Coordinator will work closely with the Senior Talent Advisor, playing an important role within the Talent team by supporting employees throughout their journey with Publicis Groupe. This role is in a fast-paced environment, offering exposure to a broad range of Talent Operations activities, a large and diverse employee population, and the wider Talent function. The successful candidate will be supported by an experienced team and have opportunities to build knowledge and skills across various Talent processes.

Responsibilities

  • Build strong relationships across the Talent team and wider Global business, providing a professional, responsive, and helpful service.
  • Handle queries sensitively and in a timely manner.
  • Provide first-line guidance on Talent policies, processes, and procedures to employees and managers.
  • Escalate complex or sensitive matters to the appropriate Talent Advisor.
  • Own the onboarding process, ensuring a positive start for new joiners.
  • Manage new joiner paperwork, including requesting references and tracking/uploading employee documents.
  • Liaise with Payroll to ensure accurate and timely submission of new starter, leaver, and employee change information.
  • Resolve discrepancies with Payroll.
  • Process leavers and communicate with employees throughout the leaver process.
  • Manage and process employee lifecycle changes, including promotions, transfers, salary changes, reporting line changes, and contractual amendments.
  • Ensure systems and documentation are updated accurately and on time for employee lifecycle changes.
  • Monitor employee absence through the system and ensure accurate record maintenance.
  • Highlight absence issues or trends to the Senior Talent Advisor.
  • Coordinate and administer the probation process, including extensions and failures.
  • Escalate probation issues to the Senior Talent Advisor.
  • Manage the Right to Work process, conducting checks and maintaining accurate records.
  • Monitor expiry dates for Right to Work documentation and follow up with employees.
  • Escalate Right to Work concerns to the Talent Advisor.
  • Maintain the integrity and accuracy of employee data and records.
  • Ensure employee information is complete, up-to-date, and appropriately stored.
  • Work with Finance to ensure accurate and timely provision of invoices and POs.
  • Support the wider Talent team with ad-hoc administration and Talent activities.
  • Contribute to team priorities and gain exposure to a broad range of Talent processes.
  • Identify opportunities to improve Talent processes, systems, and employee experience.
  • Make recommendations and support the implementation of process improvements.

Requirements

  • A thorough understanding of operational HR processes for system onboarding and lifecycle management.
  • Previous experience working with HRIS/HR systems or databases.
  • A passion for providing excellent service to people.
  • Highly organised and detail-oriented.
  • Ability to manage a varied workload and prioritise effectively.
  • Ability to maintain accuracy across multiple priorities.
  • Confidence managing day-to-day responsibilities independently.
  • Recognition of when to seek guidance or escalate queries.
  • Excellent communication skills.
  • Proficiency with Microsoft Office Suite.
  • Positive and adaptable attitude.
  • Willingness to learn and embrace change.
  • Willingness to look for opportunities to improve.
  • A team player who cares about collective success.
