About the Role

The Academic Affairs Coordinator ensures the efficient delivery of the NYU London academic programme and works closely with faculty and staff to coordinate academic class preparation and administration. The Coordinator oversees the Moses Center academic accommodations across NYUL and the support functions associated with it, as well as taking a lead role in the management of the attendance monitoring function.

Responsibilities

  • Support timetable creation in conjunction with senior academic staff
  • Coordinate data entry of timetable details into Albert/CLSS for student registration
  • Coordinate the production of class, final exam, and Moses Center exam timetables
  • Coordinate midterm and final grade entry processes with NYUL faculty
  • Coordinate academic affairs administration for Students of Concern meetings
  • Coordinate the management of student attendance records
  • Coordinate the NYUL library collection and arrange external library memberships
  • Provide administrative support for students in NYUL partnerships with external providers
  • Organize syllabi collection and administration for all classes
  • Assist with data input related to classes, grading, and student schedules on NYU databases
  • Coordinate academic-related information on the NYUL website, syllabus template, and publications
  • Assist with the maintenance of records of grades and class offerings according to procedures
  • Assist with the logistics of faculty meetings, functions, and on-site meetings
  • Support academic-focused visits for visiting staff and faculty
  • Manage room allocations and bookings, supporting blended/hybrid classroom teaching including Zoom support
  • Handle general enquiries and administrative tasks for the Academic Affairs Department
  • Contribute to the strategic development of the programme in relation to sustainability, affordability, diversity, equity, and inclusion
  • Act as the first point of contact for academic-related faculty enquiries
  • Liaise with faculty regarding course texts, arrange coursepacks, place textbook orders, and coordinate student book sales
  • Support faculty with implementing Moses Center accommodations
  • Assist faculty with scheduling make-up class sessions
  • Support new faculty recruitment and induction
  • Support faculty training and provide ongoing faculty support with NYU’s learning management system (LMS) and other classroom management tools
  • Act as the point person for The Moses Center at NYUL, coordinating and advising on academic accommodations
  • Lead assistance to students on academic administrative policy matters
  • Assist with relevant visa oversight and data collection requirements during orientation
  • Act as a first point of contact for academic-related student enquiries
  • Assist students during the Orientation period, including the book sale

Requirements

  • At least 2 years’ experience in an academic office environment
  • Candidates must have the unrestricted right to work and live in the UK prior to appointment
  • Demonstrated commitment to promoting a diverse and welcoming environment

  • Ability to work on own initiative with little supervision
  • Excellent interpersonal and communications skills
  • Comfort working with both students and faculty
  • Enthusiastic, pro-active, and committed
  • Computer literate with good knowledge of Microsoft Office suite
  • Excellent written & oral skills
  • Knowledge and experience of working within an educational organization, especially at HE level (preferred)
  • Some knowledge and understanding of US Study Abroad or US Higher Education (preferred)
  • Experience of working with PhD or post-graduate students in a supporting function (preferred)
