About the Role

The Executive Assistant will coordinate operations and planning, ensuring timely information flow to and from the executive office. This role requires handling confidential information, functioning effectively in a fast-paced environment, and independently managing multiple competing priorities and deadlines. The ideal candidate will be dynamic, high-energy, organized, possess creative writing skills, and support cross-functional coordination.

Responsibilities

  • Conduct research, assemble and analyze data to prepare reports and documents.
  • File and retrieve documents and reference materials.
  • Prepare and submit leader's expenses.
  • Manage and maintain Executive schedules, appointments, and travel arrangements.
  • Arrange and coordinate internal and external meetings, events, and off-sites.
  • Record, transcribe, and distribute meeting minutes and monitor actions weekly.
  • Monitor, respond to, and distribute incoming communications.
  • Answer and manage incoming calls and emails.
  • Receive and interact with incoming visitors and clients.
  • Coordinate project-based work with teams across the business in the UK and US.
  • Own and coordinate agendas for Senior Execs travelling from the US to the UK.
  • Review operating practices and implement improvements.
  • Adhere to company security policies and procedures.
  • Handle confidential information professionally and discreetly.
  • Anticipate leader's needs and proactively bring together resources to support issue resolution.
  • Prepare agendas, assist with research/background information, content development, presentation creation, and coordinate meetings when the Leader chairs.
  • Highlight and own opportunities to improve employee engagement and customer experience.
  • Respond to all inquiries in a timely and efficient manner.
  • Keep managers' diaries and appointments up to date and organized with supporting paperwork.
  • Coordinate and deliver all project work to agreed deadlines.
  • Prepare and submit manager's expenses on time.
  • Book all meeting rooms and resources as required.
  • Maintain a positive brand within the business.

Requirements

  • Ability to independently manage multiple tasks and projects with competing priorities and deadlines.
  • Ability to screen and prioritize communications and opportunities from external and internal sources.
  • Organized with creative writing skills to convene required communication and image as set by the International Managing Director and UK Managing Director.
  • Able to support cross-functional coordination in a fast-paced environment.
  • Possess excellent judgment.
  • Required to be available during regular business hours and weekends, on occasion as needed.
  • Help with consistency of standards across other Executive Assistants to enable a world-class experience for Rackers and Clients.

Salary/Compensations

  • £31,827.00/year - £42,436.00/year
