About the Role
This role as a PA/Office Manager at Head Office is focused on ensuring smooth day-to-day operations and providing essential support. Responsibilities
- Manage all incoming and outgoing deliveries and mail.
- Procure and manage stationery, refreshments, and office supplies, ensuring adequate stock levels.
- Maintain an inventory of office equipment assigned to each employee.
- Track annual leave for all office staff.
- Coordinate with cleaning staff, IT support, and building contractors.
- Provide complex diary management for the MD and Operations Director.
- Greet visitors and direct them to the appropriate colleagues.
- Manage and coordinate meeting room bookings.
- Take minutes for meetings and communicate relevant updates to staff.
- Coordinate travel arrangements and create detailed itineraries.
- Handle monthly expenses and provide ad hoc administrative support.
- Contribute to creating a fun, engaging, and productive office environment.
- Offer high-level administrative support to senior leadership, including diary management, meeting coordination, minute-taking, action tracking, and preparing Executive packs.
- Anticipate senior leaders' needs and proactively offer support to manage priorities efficiently.
- Schedule, attend, take minutes, and track actions for monthly SMT and Business Review Meetings.
- Update actions and compile PP slides as needed.
- Assist with printing, organizing, and arranging documentation and presentations.
- Support the events planner with company events, including parties and meetings.
- Maintain and develop positive working relationships with colleagues, clients, and suppliers.
- Perform other assigned responsibilities to support the smooth running of the business.
- Adhere to company policies and procedures.
- Work within the ISO 9001 and 14001 frameworks.
- Undertake any other duties necessary to support clients, customers, colleagues, and the company.
