About the Role
Workato is seeking a proactive and detail-oriented Office Administrator Intern/Contractor to join the Japan team. This role will work closely with the leadership team to ensure the smooth operation of daily activities, including office and administrative support, event coordination, and onboarding assistance. You will play a central role in ensuring the team works in an organized and fulfilling environment, while also supporting community activities and external engagement. This is an ideal position for someone who thrives on "getting things done," enjoys working in a fast-paced environment, and takes pride in providing a seamless and positive experience for internal teams and external guests. Responsibilities
- Support daily office operations.
- Assist with team meals and regular team activities, such as team meals and internal events.
- Provide logistical and coordination support for events and offsites.
- Support new hire onboarding.
- Handle office-related requests, including supplies and business cards.
- Prepare simple meeting materials and follow-ups as needed.
- Support external engagement and community events as required.
Requirements
- Relevant training, degree, or experience in communications, digital marketing, public relations, business, public policy, technology, entrepreneurship, or a related field.
- Strong storytelling, research, writing, and presentation skills, with an interest in thought leadership, entrepreneurship, and Japan’s technology and innovation ecosystem.
- Experience or strong interest in digital content creation; Familiarity with website management, including WordPress updates, social media, website copy, and basic UI/UX principles is a plus.
- Proficient in Google Workspace (Docs, Sheets, and Slides) and social-media platforms; familiarity with graphic design tools like Canva, basic web coding and Wordpress, AI productivity tools, Slack, and Zoom is a plus.
- Able to work independently in a fast-paced environment, manage multiple priorities, and meet deadlines.
- Able to work from the Tokyo Station office 1–2 days per week.
- Relevant experience through student organizations, marketing, PR, content creation, events, government, entrepreneurship, or business communities is beneficial but not required.
- Native-level proficiency in English.
- Native or business-fluent spoken and written Japanese (JLPT N1 preferred).
- Reliable, proactive, and accountable – takes ownership and consistently follows through.
- Strong storyteller and communicator – turns complex ideas into clear, engaging narratives for different audiences.
- Organized and detail-oriented – manages multiple tasks, deadlines, and content assets effectively.

- Curious about business, technology, entrepreneurship, and public policy – motivated to understand how Workato can contribute to Japan’s innovation agenda.
- Adaptable, proactive and eager to learn – open to feedback, new tools, and new ways of working, including AI tools.
- Professional with discretion and integrity – handles leadership communications and sensitive information responsibly.
- Interest and practical experience in office administration, coordination, or operations (e.g., internal communications, HR operations, project coordination).
- High IT literacy with practical knowledge of Google Workspace (Docs, Sheets, Slides); experience with tools like Slack and Zoom is a plus.
- Ability to commute to the office near Tokyo Station at least 3 days per week.
- Strong sense of responsibility and punctuality.
- Flexibility and willingness to support activities outside the office as needed.
- Native-level English proficiency.
- Everyday conversational and business document level Japanese proficiency (equivalent to JLPT N2).
