About the Role
This role involves assisting the General Manager (GM) with diverse administrative duties, requiring strong computer, accounting, communication, and organizational skills. The position demands an understanding of company policies and procedures, handling confidential information, and managing complex data. Key responsibilities include calendar management, coordinating domestic and international travel, and serving as the primary point of contact for the GM's schedule.
Responsibilities
- Performs administrative and incidental functions such as preparing correspondence, answering telephones, maintaining files and supplies, keeping appointment calendars, and compiling reports.
- Supports GM and/or Division visitors with their administrative needs.
- Schedules and coordinates meetings, initiates and follows up on travel arrangements, and prepares itineraries.
- Acts as a liaison between the GM and staff, other departments, and external personnel.
- Manages incoming/outgoing documentation for expenses, contracts, etc., ensuring accuracy and confidentiality.
- Handles all confidential correspondence and inter-company communications, facilitating inter-departmental communications.
- May provide training and orientation to new staff.
- Manages annual kick-off meetings/events and monthly divisional gatherings.
- Supports Company initiatives related to Quality Management Systems (QMS), Environmental Management Systems (EMS), and other regulatory requirements.
- Complies with company policies, operating procedures, processes, and task assignments.
- Maintains positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors.
- Performs other related duties and responsibilities as assigned.
Requirements
- A minimum of 3-5 years of executive secretarial experience.
- Proficiency in Excel, PowerPoint, Word, and Microsoft Outlook.
- Demonstrated ability to use Outlook Scheduler is a plus.
- Experience working in a broader enterprise/cross-division business unit model is preferred.
