About the Role
Aviso is seeking a New Accounts Administrator to join their Operations team for a 6-month term. This role is responsible for the accurate and timely processing of daily new accounts, including fee-based accounts, and will collaborate with internal teams and advisors. Continuous improvement is a priority, and the successful candidate will contribute to enhancing efficiency.
Responsibilities
- Process new accounts in accordance with service level agreements.
- Provide administrative support and take ownership of fee-based activities, including ongoing account management within various fee-based programs.
- Adhere to the request processing protocol by providing clear and concise notes with relevant and up-to-date information from internal and external sources.
- Ensure documentation is complete and accurate, and capture and update client data.
- Properly utilize all relevant systems (Laserfiche, OSM, Dataphile) in accordance with company policies and industry regulations.
- Ensure accounts are properly prepared according to New Account Forms (NAFs) and that transactions are coded according to tax reporting rules.
- Update internal manuals based on changes to company policies, industry regulations, and systems and procedures.
- Inform peers and supervisor of any issues or changes.
- Regularly organize cross-training to foster learning of all aspects of processing functions.
- Foster an environment of continuous improvement that encourages ideas, curiosity, and participation in various initiatives.
- Meet or exceed partner and client expectations daily, demonstrating an understanding of the impact of your work on these parties.
Requirements
- Post-secondary education and/or equivalent experience.
- Minimum of 1-2 years of administrative experience, preferably in mutual funds or financial services.
- Successful completion of the Canadian Securities Course is an asset.
- Strong knowledge of Microsoft Office (Outlook, Excel, Word).
- Knowledge and experience with Dataphile is an asset.
- Proficiency (written and spoken) in English and French is required to communicate fluently and effectively with partners, clients, and colleagues across Canada.
- Ability to work within the standard Eastern Standard Time business hours.
