About the Role
The Senior Regulatory Records Coordinator provides operational and technical expertise for the administration of regulatory records, adjudicative proceedings, and regulatory filing processes. This role ensures the integrity, consistency, accessibility, quality, and timely management of regulatory records, acting as a key advisor on operational issues and supporting modernization initiatives.
Responsibilities
- Coordinate the intake, review, and distribution of regulatory filings.
- Create and maintain regulatory records, ensuring completeness, accuracy, and accessibility.
- Manage unique, complex, and sensitive regulatory proceedings.
- Support adjudicative hearings, including hybrid proceedings and consultations with transcribed court reporting.
- Conduct quality assurance peer reviews of regulatory records for consistency and completeness.
- Monitor metadata standards, naming conventions, accessibility requirements, and document standards.
- Support compliance with confidentiality requirements and records management policies.
- Provide guidance, coaching, and mentoring to Regulatory Records Coordinators/Administrators.
- Assist with onboarding, training, and the development/maintenance of procedures, user guides, and operational documentation.
- Act as the primary resource on regulatory records administration practices for the team.
- Serve as the designated backup to the Deputy Registrar, providing operational continuity.
- Interact with external stakeholders on administrative matters in adjudicative proceedings.
- Support Commissioners, Legal Services, Hearings Advisors, and case teams, including creating e-binders.
- Participate in modernization initiatives, including BOOST and future technology implementations.
- Support system enhancements, testing, and implementation activities.
- Identify opportunities to improve efficiency, service delivery, and user experience.
Requirements
- Post-secondary education (college diploma or university degree) in Legal Administration, Business Administration, Public Administration, Library and Information Sciences, Records Management, or a related discipline.
- Minimum 5 years of progressively responsible experience in regulatory administration, tribunal administration, records management, legal administration, adjudicative processes, or a comparable environment.
- Preferred 7+ years of experience in regulatory or tribunal administration.
- Experience supporting adjudicative proceedings.
- Experience administering electronic records and case management systems.
- Experience providing training, mentoring, or operational guidance to staff.
- Experience developing or improving operational procedures.
- Experience participating in business process improvement or technology modernization initiatives.
- Experience using Microsoft Dynamics 365 or similar enterprise case management and records management platforms.

- $86,210 - $101,349
