About the Role

At Confluent Health and its affiliated brands, Care Coordinators are central to the clinic's operations, managing the patient experience from the first interaction through every visit. This fast-paced, multi-tasking role requires organization, follow-through, and ownership to positively impact patients and the clinical team.

Responsibilities

  • Create a welcoming, professional first impression for patients, visitors, and referral sources.
  • Manage front desk operations including patient check-in, check-out, scheduling, insurance verification/authorization, and phone calls.
  • Review, schedule, and follow up on incoming referrals by gathering information, creating or updating patient records, and helping patients understand next steps.
  • Keep patient flow and schedules moving by confirming appointments, working waitlists, filling cancellations, and following up with patients who need future visits.
  • Collect copays, balances, and other patient payments accurately and professionally, including basic payment tracking or reconciliation when needed.
  • Protect patient privacy and uphold HIPAA standards in all front desk interactions and documentation.

Requirements

  • High School Diploma or GED required.
  • 1+ year of experience in a customer-facing or patient-facing role (e.g., retail, hospitality, call center, medical reception).
  • Demonstrated ability to manage multiple tasks at once while staying organized and detail-oriented.
  • Comfortable and confident communicating on the phone, including handling upset or frustrated callers with patience and professionalism.
  • Basic computer proficiency: comfortable learning new systems, navigating scheduling software, sending emails, and working in spreadsheets.
  • No prior medical experience required; comprehensive training is provided.
