About the Role
The Event Coordinator plays a key role in planning and executing high-profile internal and external corporate events for advisors, clients, and employees. This role strengthens brand reputation, fosters relationships, and supports strategic messaging, contributing to business development and client retention. The position ensures events align with corporate strategy, key messages, and brand standards, collaborating with various internal departments and external vendors.
Responsibilities
- Assist in the execution of all aspects of corporate events, including conferences, community engagement initiatives, corporate meetings, and networking functions.
- Collaborate with internal stakeholders to define event objectives, messaging, themes, and target audiences.
- Assist with event budgets, forecasts, expenses, and final reconciliations.
- Coordinate event logistics, including venue sourcing, contract negotiation, catering, audio-visual production, transportation, accommodations, and onsite operations.
- Contribute to event creativity, including developing and executing engaging themes.
- Develop and maintain detailed event timelines, production schedules, run-of-show documents, and communication plans.
- Liaise with and manage internal clients as well as external vendors, sponsors, agencies, and partners.
- Ensure all events comply with company policies, brand standards, and applicable industry regulations.
- Proactively identify and mitigate risks related to logistics, safety, compliance, and reputation.
- Assist with onsite execution and real-time decision-making during events, resolving issues quickly and professionally.
- Manage the internal events inbox, including monitoring messages, responding, and escalating items.
- Mentor volunteer or marketing team members as required.
- Evaluate event success through post-event reporting, stakeholder feedback, and ROI analysis.
Requirements
- Proven experience (2+ years) in event planning, preferably within the financial industry.
- Strong organizational skills and attention to detail.
- Excellent communication and negotiation abilities.
- Ability to work independently and as part of a team.
- Flexibility to work evenings and weekends as needed.

Salary/Compensations
- $60,000 - $72,000 annually
