About the Role
The Sample Room Coordinator is responsible for handling all cell nutrition and excipient Salesforce sample requests as well as PSS and co-ship sample requests from receipt to shipment for the Norwich NY manufacturing site. This includes preparing, documenting, shipping, and tracking samples, as well as maintaining the sample room inventory, shelf-life, and GMP requirements.
Responsibilities
- Receive sample requests from Sales Force, prepare the sample, record the sample information in the sample system, request a double check to be performed, enter the shipment information into the freight system, and ship the sample.
- Receive PSS & Co-ship sample requests from SAP, prepare the sample, record the sample information in the system, request a double check to be performed, enter the shipment information into the freight system, and ship the sample.
- Be able to perform a mock (or actual) recall on samples sent.
- Maintain the proper inventory levels of product, packing material, and miscellaneous supplies in the sample room according to requirements and predetermined safety stock levels.
- Ensure all materials in the sample room meet standard product specifications, represent typical manufacture, are within shelf life, and any retests are performed before the sample is dispatched.
- Order replenishment inventory in a timely manner to ensure inventory levels do not go below safety stock.
- Organize the sample room in the most efficient manner possible.
- Ensure all backup personnel are kept current of any changes in the sample system or changes in the sample room.
- Ensure the sample room meets GMP requirements.
- Develop and maintain Excel spreadsheets.
- Handle various tasks as assigned by Management.
- Provide a monthly report showing number of samples sent by product group.
- Participate in the Physical Inventory Count.
- Keep filing up to date.
- Prepare SOPs and maintain them current.
- Other assignments as needed.
Requirements
- Minimum of 2 years of relevant experience
- Good working knowledge of math and confidence in using it
- Ability to write clearly and legibly
- Attentive to detail/accuracy and committed to quality
- Ability to communicate well in a professional manner, possess excellent phone skills, read and understand written instructions
- Flexibility in adjusting work schedule and ability to work overtime when required
- Ability to work well with other departments
- Organized, neat, clean and consistent
- Initiative, resourcefulness, and ability to use common sense and make decisions using sound judgment
- Assertive demeanor and problem-solving skills
- Must be able to lift up to 50 lbs.
Skills
- Strong PC program experience (Excel, Word)
- Computer literacy
- Excellent communications and follow-up skills
- Strong organizational skills
- Experience with ticketing systems
- Proficiency in using software and tools for technical support and documentation
- Experience working in an SAP /SFDC environment is desirable
