About the Role
We are seeking a detail-oriented, proactive Part-Time Office Manager to ensure our suite runs smoothly, efficiently, and always remains investor-ready. Ideally working primarily during morning hours four days a week, you will serve as the heartbeat of our physical office environment. This role focuses on daily office maintenance, vendor oversight, technology coordination, and seamless collaboration with our Executive Assistant team to support high-stakes partner visits and team culture.
Responsibilities
- Maintain overall office tidiness and ensure common areas are pristine, operating in coordination with our third-party cleaning staff.
- Conduct daily trips to the PO box to check and collect mail, and manage the prompt processing and distribution of mail to relevant parties.
- Monitor and manage building systems, including HVAC maintenance, and serve as the primary point of contact for building property management.
- Regularly audit the work of the cleaning staff to guarantee quality control.
- Manage and order team snacks, pantry goods, and general office supplies while maintaining a budget-conscious approach.
- Ensure that all conference rooms and general office spaces are meticulously maintained, organized, and prepared to meet institutional standards for visiting investors, lenders, and partners.
- Oversee and streamline conference room bookings to prevent scheduling conflicts across teams.
- Partner directly with the Executive Assistant to the Leadership Team to support logistical preparations for high-stakes investor visits.
- Serve as the primary point of contact for routine technology correspondence and troubleshooting coordination with our Managed Service Provider (MSP).
- Work alongside the Executive Assistant to coordinate internal team-building events and office culture activities.
- Perform other related office management tasks and duties as needed to support a seamless work environment.
Requirements
- 2+ years of administrative or office management experience in a professional corporate environment.
- Highly organized with an eye for detail; naturally spots issues (such as tidiness, tech glitches, or maintenance needs) and resolves them proactively.
- Professional, clear, and courteous written and verbal communication skills for interacting with building management, vendors, MSPs, and internal staff.
- Comfortable working autonomously during morning hours to get the office fully prepped and running smoothly for the day ahead.
- Must be able to hear well enough to communicate via phone or in person to all internal and external customers.
- Must be able to communicate clearly and concisely.
- Must be able to read reports and use computer, phone and other general office equipment.
