About the Role
This position is responsible for coordinating and supporting the Sourcing Team through all stages of the procurement process and contract management of existing contracts. The role supports Member customer service, supplier relations, and issue resolution, and requires proficiency in MMC Procurement Systems and e-tendering sites.
Responsibilities
- Coordinate and support the procurement process.
- Liaise with Members on initiatives, contract issues, committee action items, and strategic sourcing inquiries.
- Participate in initiative process and supplier meetings.
- Develop and manage documentation pertaining to assigned initiatives, including NDAs, COIs, and other procurement documentation.
- Schedule proponent meetings and webinars related to initiatives.
- Schedule strategic working group/clinical expert group meetings.
- Assist in addressing member inquiries regarding scoring, evaluation, and validations of sourcing events.
- Provide contract information and initiative expertise to other departments.
- Maintain systems with up-to-date information on initiative milestones.
- Ensure the bid process adheres to existing policies and procedures.
- Develop Request for Quotation, Request for Proposal, and Request for Information based on customer requirements.
- Post RFx on electronic tendering portals.
- Act as a RFx Bid Administrator and provide bid analysis/evaluations with award recommendations.
- Conduct systems and reports maintenance, training, and troubleshooting.
- Collaborate with sourcing leads to update procurement system comments.
- Prepare and maintain auditable working contract files and documentation for execution in the contracts system.
- Maintain and update the contract management system for all contracts and amendments.
- Reply to proponent questions in collaboration with the sourcing lead.
- Assist and/or prepare load sheets for internal stakeholders.
- Create contracts in the ERP system.
- Provide local contract management issue support during the term of the agreement.
- Provide input on other contract management activities.
- Manage contract landscape and proactively meet with end users to review upcoming contract expiries.
- Administer transactions for major supply and service agreements and equipment, monitoring compliance with terms and conditions.
- Review material specifications with customer groups and communicate with suppliers to acquire the best value.
- Develop and maintain strong customer relationships.
- Track and report cost savings based on established guidelines.
- Lead and coordinate project activities as required.
- Support Contract Management, Member customer service, supplier relations, and issue resolution.
- Manage ongoing contracts, including product/Member additions, issue resolution, and pricing changes.
- Interface with Members to answer contract-related questions and deliver exceptional customer service.
- Review and verify product and service requests from customers.
- Gather and analyze supplier data to determine the viability of new suppliers.
- Advise customers of marketplace information through discussions and meetings.
- Distribute pertinent information and literature.
- Provide timely communication of project status to internal and external customers.
- Escalate issues to the Sourcing Lead or Sr. Manager as appropriate.
- Contribute and assist team members when needed.
- Pursue continuous learning.
- Assist with new staff training and orientation.
- Perform other duties and tasks as assigned.
Requirements
- Demonstrated knowledge in all facets of MS Office platforms and Electronic Tendering systems.
- Demonstrated proficient communication skills, both written and oral.
- Post-secondary degree or diploma.
- 1 to 2 years of experience in a purchasing/sourcing environment.
- Knowledge of suppliers and experience dealing with people at different professional levels.
- Excellent interpersonal skills with a high concentration on Customer Service.
- Attention to detail and high level of accuracy.
- Adaptability with a desire to learn.
- Proven organizational and time management skills.
