About the Role

Thought Machine is seeking an Events Manager to join their Marketing team in London. This role involves the creation and execution of all internal and client-facing events, requiring close collaboration with key stakeholders and C-level executives to achieve event goals.

Responsibilities

  • End-to-end event planning from start to finish, aligning with objectives, requirements, and target audience.
  • Conduct venue research across multiple regions (London, APAC, AMER), ensuring brand alignment.
  • Manage supplier selection and engagement for catering, production, AV, and other needs.
  • Maintain strong stakeholder relationships, providing updates on logistics and ensuring alignment with the brief.
  • Create and manage documentation, including supplier briefs, timelines, budgets, and proposal decks.
  • Handle finance processes for supplier onboarding, compliance checks, and invoice payments.
  • Manage budgeting, negotiation, and contract review.
  • Oversee invite and guest management.
  • Communicate event information company-wide via email and Slack.
  • Execute events onsite, with potential travel for global events.
  • Conduct post-event surveys and debriefs.
  • Manage the swag fulfilment warehouse and online store, including inventory and order processing.
  • Oversee all aspects of the production process from concept to post-event evaluation.
  • Ensure the smooth running of weekly company all-hands meetings (Thought Machine Fridays).

Requirements

  • Previous event management experience across various global events, including large-scale conferences, C-level dinners, client-facing events, internal away days, and team offsites.
  • Ability to build internal rapport and strong stakeholder management skills.
  • Previous experience in budget creation and management.
  • Strong attention to detail, problem-solving abilities, and a can-do attitude.
  • Excellent communication and time management skills.
  • Team player with leadership skills.
  • Previous experience in a fintech, financial services, and/or B2B environment is desirable.
