About the Role

California College of the Arts' Professional Engagement and External Partnerships Office (PEEP) seeks a Visual Communications & Administrative Coordinator to support marketing materials, digital communications, event preparation, and office administration for PEEP programs. This temporary role blends graphic design with operational support, ideal for someone who enjoys both creative and organizational tasks.

Responsibilities

  • Design and produce marketing and communications materials for PEEP programs, events, employer engagement initiatives, and student professional development opportunities.
  • Create digital marketing assets for platforms such as Instagram, Handshake, Gmail, Eventbrite, and campus portals.
  • Design print and event materials, including flyers, brochures, posters, event signage, handouts, check-in materials, name tags, thank-you cards, stickers, presentation materials, and promotional items while working within CCA brand guidelines.
  • Collaborate with CCA’s Lead Designer to ensure marketing materials align with institutional brand standards, accessibility expectations, and visual quality guidelines.
  • Prepare and organize event materials, including signage, handouts, check-in materials, name tags, presentation materials, printed programs, and branded collateral.
  • Coordinate closely with the Administrative Assistant & Events Operations Coordinator to ensure event materials are prepared, organized, and implemented successfully.
  • Assist with in-person event preparation, setup, and day-of support for PEEP programs, workshops, lectures, networking events, employer visits, and other professional development events.
  • Support the placement of signage, displays, printed materials, and visual elements in event spaces.
  • Support day-of-event operations and keep student staff aligned to the run of show, ensuring smooth transitions and reliable coverage of key roles.
  • Provide day-of logistical support, including check-in assistance, materials distribution, guest support, room reset, and event breakdown when needed.
  • Coordinate checkout and basic setup of microphones and event A/V equipment (as applicable by venue/event needs).
  • Provide regular in-office administrative support for PEEP, including organizing materials, scheduling, and supporting day-to-day office coordination.
  • Help maintain organized systems for event materials, print collateral, signage, templates, promotional items, and shared digital files.
  • Support project tracking for design, communications, and event-related deadlines.
  • Assist with preparing materials for programmatic/divisional campus events.
  • Provide front-facing support when needed for students, employers, alumni, campus partners, and visitors interacting with the PEEP office.

Requirements

  • Strong graphic design and visual communication skills, with experience creating print and digital marketing materials.
  • Proficiency with design tools such as Adobe Creative Suite, Canva, Figma, or similar platforms.
  • Familiarity with social media platforms, email marketing tools, Eventbrite, Google Workspace, or similar communication/project tools preferred.
  • Ability to work within brand guidelines while bringing creative ideas to visual communications.
  • Experience preparing print-ready files; managing and organizing digital assets for seamless team collaboration.
  • Ability to manage multiple design, communications, and office projects with attention to detail and deadlines.
  • Strong organizational, administrative, time management, and project coordination skills to meet deadlines.
  • Strong written and verbal communication skills.
  • Comfort working regularly in an office environment and supporting in-person administrative and event needs.
  • Comfort collaborating with staff, students, campus partners, and external guests.
  • Ability to work independently while also contributing to a collaborative team environment.
  • Professionalism, reliability, flexibility, and a strong service-oriented approach.
