About the Role
The Vita Coco Company is seeking a Domestic Transportation Coordinator to manage TMS operations and coordinate all inbound and outbound truckload and LTL shipments. This role involves transportation planning, carrier communication, scheduling, problem resolution, data compliance, and financial management of vendors, while optimizing utilization and driving operational efficiency.
Responsibilities
- Daily load planning with our Transportation Management Software
- Communicate frequently and thoroughly on daily tracking, transportation outbounds, and pending deliveries
- Support transportation team with all internal customer accounts, supply and warehouse team, along with external partners for daily operational activities in inbound and outbound warehouse and transport operations
- Responsible for submitting reports and documentation as required; including ensuring administrative procedures are performed as necessary to complete required deliveries, supporting documentation, verifications and reports.
- Maintain effective professional relationships with all carrier vendors, including daily emails, contacts and inquiries
- Establish and maintain effective professional relationships at all levels throughout the organization and externally
- Continually look for ways to optimize our transportation management system, inclusive of expanding its utilization and vetting additional opportunities to enhance our network and reduce our costs.
- Work with carriers on data compliance, with EDI standards for all carriers, to ensure BI boards can be used to identify further areas for company improvement
- Assist in management of invoice workflow for the domestic transportation providers, drayage and over the road.
- Rate change request management within the TMS
- Audit and approve the charges submitted for payment within the TMS to ensure accurate charges based on agreements
- Manage the dispute process with all vendors in US internally and externally.
- Monitor statement of accounts and their payable aging for transportation vendors, including problem resolution
- Assist with month end and financial closing accrual/reporting of any unsubmitted expenses
Requirements
- Experience managing a 3PL relationship, demonstrates an ability to influence and work effectively with external parties
- Excellent analytical and communication (both written and verbal) skills
- Mastery skill set in Excel, including the ability to create pivot tables, macros, sales dashboards, etc.
- SAP / MRP working experience
- Ability to manage multiple activities and cross-functional projects in a fast-paced environment
- Self-motivated team member who can drive resolution and problem-solve quickly
Skills
- Transportation management system experience is beneficial (currently use E2Open/Blujay)
