About the Role
As part of a growing and dynamic Commercial Portfolio Management team, the Commercial Mortgage Coordinator is responsible for maintaining and updating management and portfolio pipeline reports, and assisting team members with the day-to-day administration and management of the CFG book of loans. Duties include assisting Account Managers, Associate, and Analysts in communicating with clients regarding status of mortgages, coordinating the collection of documents required to complete renewals, modifications, annual reviews, and administering renewals/modifications/annual reviews on PPlus. The Commercial Mortgage Coordinator will also help to ensure that files are AML compliant and assist with monthly/quarter-end reporting requirements.
Responsibilities
- Prepare, maintain, and distribute the Construction Progress Report on a monthly basis, coordinating with stakeholders to obtain updated project information, validate accuracy, and ensure deadlines are met.
- Assume end-to-end ownership of the reporting process to produce a high-quality report for Risk Management.
- Work closely with Account Managers in the administration of the loan book on a daily basis, generating pricing quotes, requesting due diligence materials, and assisting in their review.
- Follow up for any outstanding conditions precedent to renewal/annual review, including AML documentation review, and follow up for mortgage payouts for accounts not being renewed.
- Process all mortgage renewals, extensions, annual reviews, and other loan detail changes on PPlus on a daily basis.
- Assist with tracking conditions precedent to renewals and work with team members to ensure AML guidelines are met.
- Ensure all conditions are signed off by the underwriter or appropriate approval authority prior to administering a renewal/extension/annual review on PPlus.
- Communicate with internal and external contacts daily to ensure transactions are processed in a timely and efficient manner.
- Update renewal/annual review pipeline reports daily.
- Prepare specific departmental management reports for month/quarter-end.
- Assist Analysts with the preparation and administration of construction loan sub advances on an ad hoc basis.
- Support the collection and review of required documentation, data entry, reconciliation of advance calculations, and coordination with internal stakeholders for timely processing of funding requests while maintaining compliance.
Requirements
- OSSD diploma
- 1-3 years of Commercial mortgage administration and credit experience is a definite asset
- Extensive working knowledge of MS Office (Word, Excel, Outlook, PowerPoint), Cyber Query and PPlus
- Ability to summarize/analyse raw data using excel (including VLOOKUPs, macros, pivot tables, and graphs) to generate clear and concise ad hoc reports for management use is a must
- Excellent attention to detail
