About the Role

The Audiology Administrator supports the daily operations of the Audiology Department by coordinating patient scheduling, documentation, communication, and compliance processes. This role serves as a central administrative resource for audiologists and external partners, ensuring smooth clinical service delivery and an exceptional patient experience across all RHSC locations.

Responsibilities

  • Serve as the primary point of contact for auditory processing evaluation scheduling, coordinating with reception for reschedules and across RHSC campuses.
  • Maintain electronic medical records (EMR) with accuracy and timeliness.
  • Coordinate inventory and supplies for hearing aids, accessories, and audiologic testing materials.
  • Support outreach and community events by organizing logistics, materials, and follow-up communications.
  • Maintain confidentiality and uphold HIPAA and RHSC privacy standards.
  • Undertake projects to support the audiology department within a reasonable timeline.
  • Process invoices, confirm correct billing, and submit for rebilling.
  • Refill and clean clinical supplies in patient rooms.
  • Perform lab maintenance.
  • Manage APD scheduling, including locating referrals, registering in EMR, sending paperwork, scheduling appointments, and collecting deposits.
  • Manage paperwork and mailings for hearing aid orders, repairs, earmolds, and accessories.
  • Charge hearing aid devices and confirm stock availability for next-day appointments.
  • Conduct monthly hearing aid inventory for Elmwood and Greece locations.
  • Maintain updated Medicaid and manufacturer price lists.
  • Update hearing aid software on computers.
  • Communicate with billing and reception departments regarding orders, coding, schedule changes, and patient needs.
  • Address extraneous tasks such as software upgrade issues, equipment malfunctions, and billing issues.
  • Create cheat sheets for reference as needed.
  • Coordinate manufacturer trainings.
  • Coordinate annual calibrations.
  • Request and confirm receipt of medical clearances.
  • Serve as backup medical receptionist during staffing challenges, including answering phones, checking patients in/out, scheduling follow-ups, and collecting payments.

Requirements

  • High School diploma or GED required.
  • Prior experience in a healthcare, audiology, or medical office setting strongly preferred.
  • Knowledge of hearing aid technology, audiology services, or medical device dispensing is a plus.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency with Microsoft Office Suite and EMR systems.
  • Attention to detail and ability to maintain accurate records.
  • Preferred experience in Audiology or clinic setting - 1 year.
  • Excellent customer service skills.
  • Ability to multitask.
