About the Role
The 14th Street Y is seeking a part-time Administrative Coordinator for their Youth Programs. This role supports the operations teams and camp Key Staff, managing phone and email communications and ensuring smooth program execution for both the After School program and the New Country Day Camp.
Responsibilities
- Train in the systems, policies, and procedures used by Youth Programs.
- Understand Youth Programs' values and communication 'voice'.
- Train in the use and function of Campsite, the primary operational system.
- Assist families with inquiries and manage enrollments via Campsite.
- Assist in the execution of Youth Programs orientation days.
- Manage and update orientation binders and distribute materials.
- Answer phone calls and family questions in the 14Y camp office.
- Support the Camp Nurse in screening and approving camper medical forms.
- Attend all days of staff orientation in June/September.
- Support the daily operations of all programs.
- Be available as the first point of contact via phone for all NCDC families.
- Help maintain the NCDC general email inbox.
- Maintain all NCDC administrative spaces, keeping them tidy.
- Support Key Staff with data entry and large form projects.
- Support the Community Engagement Manager with projects as needed.
- Communicate regularly with the Operations team regarding daily changes.
- Support the Operations team with the creation of weekly bus binders.
- Support the Aquatics Manager with data entry and printing daily swim rosters.
- Maintain inventory at camp and alert the Operations Manager when office supplies need ordering.
- Communicate regularly with the Programs Coordinator/Manager regarding daily changes.
- Support programs with schedule printing and distribution.
- Print and distribute the weekly NCDC Newspaper.
- Print and distribute Shabbat 'run of show' documents.
- Ensure Shabbat supplies are available at the amphitheater.
Requirements
- Minimum 2 years of reception, administrative, and/or customer-facing service experience required.
- Excellence in use of Microsoft Suite and other administrative systems.
- Ability to consistently empathize and communicate respectfully to Youth Programs Staff, campers, and families of all backgrounds.
- Ability to be self-directed and prioritize work tasks.
