About the Role

The Seasonal Program Assistant will support the Exhibitions & Public Programming department at NYBG in executing public programming for visitors. This visitor-facing role requires comfort interacting with guests in a friendly and professional manner and involves outdoor work in various seasons. Availability on weekends, including evenings, and occasional Fridays and holidays is necessary.

Responsibilities

  • Support setup, activation, and breakdown of public programming, including lectures, performances, markets, and tours.
  • Provide support for artists/performers with equipment, transportation, and hospitality.
  • Learn basic setup and troubleshooting of speakers and lighting.
  • Facilitate and delegate tasks to volunteers, freelancers, and interns.
  • Coordinate with NYBG departments (Operations, Security, Visitor Experience) for task execution.
  • Collect, retain, and update program data, including visitor counts and post-event recaps.
  • Create a welcoming and educational environment for visitors, assisting with wayfinding and crowd control.
  • Organize, take inventory, and maintain equipment in storage spaces.
  • Organize printed materials and set up informational tables.
  • Contribute feedback for program content and research ideas for future programming.
  • Assist with the setup and breakdown of tents, tables, chairs, and other event production elements.
  • Attend departmental presentations and briefings on programming and exhibition updates.
  • Utilize scheduling platforms and email to receive assigned tasks.
  • Perform other related duties as necessary.

Requirements

  • Maintain up-to-date knowledge of all Garden programs, hours, special events, and current exhibitions.
  • Experience in customer service and/or programs/events.
  • Familiarity with cultural institutions and related programming.
  • Must be prompt and attentive to detail.
  • Must possess excellent communication skills.
  • Valid driver's license required.

Skills

  • Experience working with QSC speaker and mixer set-ups is preferred.
  • Familiarity with Microsoft Suite is preferred.
