About the Role
As an Office Manager or Office Operations Support, you will be the central point of contact for colleagues, service providers, and guests, ensuring a well-organized and comfortable working environment. You will manage office logistics, infrastructure, access control, and support safety and event planning.
Responsibilities
- Receive guests and visitors professionally, coordinate meeting rooms, and ensure staff have a well-organized point of contact.
- Independently plan and optimize inventory of office supplies, consumables, and catering items, focusing on efficiency and availability.
- Coordinate all incoming and outgoing package and mail logistics, including complex shipments and IT hardware dispatch.
- Act as the central interface for building management and external service providers, monitoring maintenance schedules, coordinating repairs, and ensuring the office is in perfect condition.
- Proactively collaborate with the purchasing department and contribute operational requirements.
- Maintain access systems, update seating charts, and support HR with onboarding and offboarding processes by setting up and managing access permissions.
- Actively contribute to compliance with occupational safety and fire safety requirements, working closely with the safety officer.
- Plan and coordinate internal events, all-hands meetings, parties, and external conferences.
Requirements
- Minimum 1-3 years of demonstrable professional experience in office management, facility management, front office, or a comparable administrative role.
- Structured and independent work style with an understanding of operational processes and a good sense for efficient inventory and maintenance planning.
- High customer and employee orientation with a hands-on mentality, capable of finding pragmatic solutions in unexpected situations.
- Proficient in modern office tools with a basic openness to digital work methods, automation approaches, and new systems.
- Clear and professional communication in German (English skills are an advantage).
- Basic knowledge of data protection and information security.
- Team-oriented, reliable, with excellent organizational and multitasking skills.
- Flexibility, attention to detail, and solution-oriented approach are essential.
