About the Role

The ASSM role is key within the practice group, managing secretaries to ensure efficient client service delivery. This role involves aligning support needs with firm strategy and providing operational support to the Practice Group Leader and Manager.

Responsibilities

  • Manage all secretarial staff within the Practice Group on a day-to-day basis.
  • Support mentoring within the team and monitor learning and training for career progression.
  • Manage the day-to-day workflow, ensuring sufficient secretarial resource and meeting priorities.
  • Develop and encourage cross-practice working across the secretarial population.
  • Arrange secretarial cover for all absences.
  • Manage annual leave and absence processes, ensuring accurate record maintenance in Workday.
  • Manage the new joiner process, including induction support and team information pack production.
  • Undertake annual, interim, and probationary reviews for the secretarial population.
  • Understand strategic plans and review secretarial support in line with business needs.
  • Review and propose secretarial/fee earner allocations and headcount recommendations.
  • Review working hours to ensure adequate resource, support, and coverage.
  • Manage email groups, leavers, and joiners.
  • Track sabbaticals and secondments within the fee-earner population.
  • Coordinate and maintain team floor plans.
  • Spot-check/quality check work to ensure consistency and adherence to firm standards.
  • Attend regular meetings with the SSM/HoSS and other ASSMs.
  • Support secretarial participation in the Apprenticeship Scheme.
  • Champion change initiatives across the secretarial function, driving continuous improvement and exploring automation.
  • Assist with return to work interviews and absence monitoring.
  • Assist with reviewing secretarial performance/quality of work with fee earners/partners.
  • Attend first-line disciplinary and performance issue meetings.
  • Use the Secretarial Learning Journey to recommend development and refresher training.
  • Assist PGL/PGM with operational tasks benefiting day-to-day management.

Requirements

  • Proven supervisory and management experience within a similar role for at least 3 years.
  • Demonstrated skill set in people management.
  • Experience within a professional services environment, ideally within a law firm.
  • Clear ability to lead a team and command respect.
  • Ability to relate to people at all levels.
  • Ability to deal effectively with challenging and demanding situations.
  • Ability to maintain confidentiality and discretion at all times.
  • Ability to engage empathetically and be seen as fair and unbiased.
  • Proven ability to design and implement new processes.
  • Ability to achieve goals and objectives within time-frames.
