About the Role
Brookfield is seeking a dedicated individual to provide comprehensive administrative support to executives, managing complex calendars, creating presentations, and coordinating travel. This role requires a proactive approach, strong organizational skills, and the ability to handle confidential information with discretion.
Responsibilities
- Manage substantial calendar coordination in Outlook, interacting with internal and external executives and assistants globally to arrange complex meetings across different time zones.
- Create and modify PowerPoint presentations, including incorporating and formatting charts, graphs, and images.
- Review formatting and proofread documents for accuracy and attention to detail.
- Create, format, and maintain detailed Excel reports and WORD documents using advanced technical skills.
- Generate complex travel itineraries and manage meeting arrangements.
- Maintain executive travel profiles with updated travel documents.
- Balance conflicting priorities to manage workflow, ensure project completion, and meet critical deadlines.
- Utilize analytical skills and business understanding to interpret and anticipate executive needs.
- Proactively connect people and resources to support executives in addressing issues.
- Work effectively with minimal direct supervision.
- Respond promptly and courteously to requests with accuracy.
- Perform additional administrative tasks such as mailing, copying, binding, and invoice processing.
- Provide administrative support to other groups during absences or holidays as needed.
Requirements
- Over 5 years of experience supporting at the executive level.
- Demonstrated ability to handle confidential information appropriately.
- Experienced with Concur and expense management.
- Ability to stay focused, efficient, and effective in managing multiple priorities.
- Overtime as needed.
Skills
- Highly proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to create and/or update PowerPoint presentations.
- Ability to create mail merges with numerous recipients.
- Ability to communicate effectively with all levels of employees, including senior executives and outside contacts.
- Extremely organized.
- Ability to anticipate requests and be proactive.
- Excellent written and verbal communication skills.
- Strong interpersonal skills.
- Good judgment.
- Team player.
