About the Role
The Office Services Clerk will support the Copy Center & Mailroom in delivering day-to-day services, including copying, scanning, document production, office supplies and equipment support, reception, and host services. This role is crucial for maintaining efficient operations within the Toronto office.
Responsibilities
- Operate high-volume printers, including clearing paper jams, replacing toner, and ensuring print jobs are completed accurately and on time.
- Use Microsoft Office Suite (Word, Excel, and PowerPoint) and Adobe Acrobat for creating, editing, and managing documents.
- Perform document finishing, including binding, stapling, laminating, folding, and preparing materials for distribution.
- Work under tight deadlines while maintaining accuracy and delivering high-quality work.
- Handle daily mail pick-up and inter-office delivery, and process requests for sending mail and packages using Canada Post, local and international courier services.
- Send outgoing faxes and forward incoming faxes to the appropriate lawyer and assistant.
- Order office supplies and maintain adequate stock.
- Prepare workstations for new hires and assist with internal office moves.
- Set up and clean up office and boardrooms for client meetings and events.
- Provide audio and visual set-ups and support for Conference Centre meetings.
- Support and direct AV technicians in other offices for firm events.
- Provide end-user support for web-based meetings (MS Teams, Zoom and Webex).
- Provide assistance and coverage for other members of the Office Services & Facilities team as needed, including reception, hostess, and records management.
Requirements
- High school graduate or equivalent.
- Minimum one year of experience in a similar office environment.
- Previous experience in a law firm is considered an asset.
- Organization and planning skills.
- Excellent customer service skills.
- Ability to work effectively as part of a team.
