About the Role
The Residential Manager will oversee and maintain the successful operation of a 9-10 bed co-ed community residence serving individuals with severe mental illness, under the direct supervision of the Mental Health Assistant Director. This role requires professionalism, forward-thinking, and acting as a positive role model.
Responsibilities
- Demonstrate ability to problem solve, multi-task, and conduct research to resolve program concerns.
- Be available on-call 24/7 for emergent needs, triage, and support.
- Maintain flexibility in schedule with availability to deploy to the site as needed.
- Exhibit effectiveness in handling crisis situations, deploying resources, and communicating effectively.
- Maintain COVID protocols as directed.
- Oversee and implement agency medication protocols, monitoring individual adherence.
- Collaborate with the Medication Specialist to ensure OMH Medication protocols are followed.
- Conduct mandatory staff meetings at least once per month with a professional agenda, minutes, and sign-in sheet.
- Attend monthly Managers’ meetings prepared to present program updates.
- Develop specific Individual Service Plans, conduct 90-day reviews, and invite necessary parties.
- Maintain active target dates on service plans for service delivery.
- Coordinate the implementation of Restorative Service Goals, including staff assignments, data collection, progress notes, and billing requirements.
- Participate in bi-annual Utilization Management Reviews and ensure completion of Recovery self-assessments.
- Collaborate with the clinical department (BIS) to complete/oversee ABC sheets and other behavioral tracking mechanisms.
- Ensure Behavior Plans are successfully implemented and maintain records according to program due dates.
- Utilize Precision Care for all documentation and run monthly reports on progress notes.
- Identify areas of concern and address them with assigned team members.
- Effectively oversee all billing critical documentation, including service delivery, semi-annual Authorization forms, and quarterly team meetings.
- Manage staff schedules, required trainings, and the staff onboarding process.
- Participate in the interview process, documenting applicant tracking forms and forwarding to HR within 24 hours.
- Assist in actively recruiting for new team members as necessary.
- Approve timesheets via PayCom every Sunday for all assigned employees.
- Review and approve own timecard.
- Participate in the admission/discharge process, including trial visits and 30-day discharge follow-up reports.
- Confidently represent the agency to other service providers and community groups.
- Oversee cooking needs with healthy menu planning, food shopping/ordering, and meal preparation, incorporating dietary needs.
- Review the weekly menu, making any needed changes, and sign-off prior to the start of each week.
- Submit weekly food ledgers/receipts and monthly recreational receipts, van logs/receipts, etc.
- Maintain documentation of annual/bi-annual medical appointments and conduct routine audits of PC.
- Accompany residents on medical appointments utilizing agency vehicle.
- Assign tasks to Residential staff as appropriate.
- Commit to professional development and evaluate staff on an ongoing basis (90 days/annual/as deemed appropriate).
- Exercise sound judgment always.
- Keep up with a multitude of emails via Microsoft Outlook.
- Perform other duties via Microsoft Suites (Excel, Word, Teams).
- Effectively manage time, organize workspace, and demonstrate proactive planning/prioritization.
- Ensure organization of monthly recreation activities to promote independence, wellness, and community integration.
- Establish and maintain professional, interpersonal relationships.
- Develop constructive and cooperative working relationships.
- Efficiently handle complaints, settle disputes, resolve grievances, and offer mediation.
- Provide training, direction, and supervision to assigned staff.
- Maintain meticulous records to track attendance, compliance, and outcomes.
- Maintain own training compliance.
- Coordinate all services for Individuals, including linkages to day treatment, therapy, medical, psychiatric, financial, etc.
- Thoroughly prepare for OMH/OMIG/Internal Management Audits.
- Conduct regular self-audits.
Requirements
- A High School Diploma with at least FIVE (5) years’ experience working with the Mental Health population.
- At least one year experience working within a OMH funded residential setting.
- A minimum of two years’ supervisory experience.
