About the Role

This position is offered on a 12-month fixed-term contract and offers the opportunity to work as part of a highly collaborative sales team, supporting the International Head of FX and Rates Sales. The role involves close day-to-day interaction with sales, trading, and senior stakeholders, providing strong exposure to how a global markets team operates. The position follows standard trading floor hours (8:00am–5:00pm) and is office-based four days per week, reflecting the team-oriented environment and the value placed on in-person collaboration and learning. Responsibilities

  • Manage complex diaries for leaders, scheduling meetings and activities effectively and in a timely manner.
  • Proactively manage mailboxes for leaders, tracking and following up on actions promptly.
  • Oversee travel bookings using the Concur travel booking tool, ensuring adherence to corporate travel policy and CIB specific approval requirements.
  • Oversee the processing and submission of monthly expenses, ensuring adherence to policy at all times.
  • Provide administrative assistance on projects and meeting preparation.
  • Coordinate visitor schedules, reception, and access requests.
  • Manage, create, and distribute reports and meeting documents as required.
  • Take and distribute meeting minutes for the Line of Business as required.
  • Answer and direct phone calls, visitors, and internal team members, coordinating and supporting meeting setup and execution.
  • Perform proxy roles for various systems and internal approvals.
  • Assist with call reporting if required.
  • Perform complex administrative tasks.
  • Partner with support teams for technology, facilities, or support needs.
  • Support event planning teams and management for select charity, customer facing, or office events.
  • Provide back-up EA support/cover to the broader EMEA Regional Executive team.
  • Manage the monthly update of organizational charts.
  • Represent the office with competence and professionalism.
  • Operate with the highest standards of confidentiality, discretion, and diplomacy.
  • Use initiative to rapidly resolve general issues and queries efficiently.

Requirements

  • Experienced in providing support to senior level executives and able to face off across multiple lines of business and wider senior leaders.
  • Experience of working in a financial services organization in a Global Markets/Investment Banking business or international financial services industry.
  • Excellent verbal and written communication skills with the ability to think logically and consider alternatives to provide practical solutions based on a broad understanding of relevant factors.
  • Dynamic, highly motivated, target oriented and professionally committed at all times.
  • Excellent organizational skills with the ability to multi-task and use initiative.
  • Ability to work under conflicting priorities and pressures; role often requires a high degree of flexibility and re-prioritization at short notice.
  • Proven track record for consistently meeting and exceeding goals and delivering a superior level of job performance.
  • Extensive experience to an advanced level of using all Microsoft Office applications e.g. PowerPoint for complex presentations, Outlook for managing multiple diaries, Excel, Word, and conference tools like MS Teams & Zoom.
  • Additional experience in Visio is preferred.
  • Experience working in a complex multinational organization.
  • Resilient, proactive, and hands-on with a can-do attitude.
  • Meticulous approach with a high attention to detail.
  • Experience with minute taking & reviewing board / committee materials with executive.
  • Understanding of financial markets and global markets is an advantage.
  • Experience in Executive Administration, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education.
