About the Role

The Gemstones Coordinator manages the daily workflow of gemstone samples, high jewelry stones, and repairs. This role ensures accurate tracking, documentation, and inventory control across physical and digital systems, maintaining data integrity within PLM and supporting design timelines.

Responsibilities

  • Manage and log incoming and outgoing gemstone samples across the product lifecycle.
  • Maintain accurate records of sample location, status, and ownership.
  • Coordinate distribution of samples to internal teams and external vendors.
  • Track stone orders and monitor ETAs, communicating delays, risks, and updates.
  • Support inventory control of loose stones and sample libraries.
  • Conduct inventory audits and reconcile discrepancies.
  • Ensure proper storage, labeling, and handling of gemstones.
  • Upload and maintain gemstone data including certificates in PLM.
  • Link certifications accurately to stones and manage digital and physical lab certifications (GIA, IGI, etc.).
  • Maintain organized documentation and compliance records.
  • Create and manage Purchase Orders (POs) and Sales Orders (SOs).
  • Coordinate with vendors and internal teams on order fulfillment.
  • Track orders from placement through delivery and intake.
  • Create and assign individual gemstone SKUs in PLM.
  • Support product development with accurate stone specifications.
  • Partner with High Jewelry and Mainline Design teams.
  • Collaborate cross-functionally to support launches and special projects.

Requirements

  • Minimum of two years of hands-on experience in a similar position.
  • Minimum of two years of hands-on experience with inventory control.
  • Knowledge of jewelry construction, gemstones, diamonds, silver & gold required.
  • Strong communication skills.
  • Strong attention to detail is required.
  • Proficient in Microsoft Office computer skills (specifically Word, Excel and Outlook).
  • Ability to work independently and in a group setting.
