About the Role

Knight Frank seeks a proactive, highly organised, and driven Executive Support professional to join their Capital Markets Industrial Team. This role involves providing first-class support to the Industrial Team Head and wider team in a fast-paced department, requiring strong relationship-building, priority management, and problem-solving skills.

Responsibilities

  • Provide dedicated executive support to the Industrial Team Head and wider Industrial team.
  • Manage busy diaries and inboxes, ensuring priorities are effectively coordinated.
  • Organise internal and external meetings, client viewings, conference calls and board meetings.
  • Prepare agendas, board packs, presentations and meeting materials.
  • Take minutes, track actions and ensure timely follow-up.
  • Coordinate strategy days, team away days and leadership meetings.
  • Arrange UK and international travel, including detailed itineraries and travel packs.
  • Build strong relationships with internal stakeholders, clients and external contacts.
  • Act as a trusted ambassador for the Industrial Team and its leadership.
  • Support the team's operational and financial processes.
  • Monitor and maintain team work-in-progress (WIP) records.
  • Coordinate client invoicing and ensure monthly deadlines are met.
  • Process supplier invoices and partner expense claims.
  • Manage referral tracking and administration.
  • Assist with reporting and general business administration.
  • Coordinate team meetings, including agenda management, minute taking and action tracking.
  • Manage team schedules and meeting logistics.
  • Organise conferences, off-site meetings and team events.
  • Support mandatory training compliance and promote development opportunities.
  • Act as a key liaison for IT-related issues and troubleshooting.
  • Coordinate onboarding and induction for new starters, as well as processes for leavers.
  • Support appraisal cycles and six-monthly review processes.
  • Collaborate with Business Support colleagues across Capital Markets to share best practice and provide assistance during busy periods.
  • Maintain accurate records across internal systems and databases.
  • Support the management of client records, marketing lists and contact databases.
  • Coordinate Client Due Diligence (CDD) processes and maintain tracking documentation.
  • Support compliance, risk and audit requirements across the team.
  • Ensure property files and team records remain accurate and audit-ready.
  • Promote and champion best practice processes across the department.
  • Act as Marketing Coordinator for the team.
  • Coordinate marketing collateral, including capability statements, research documents, event invitations and presentations.
  • Support social media activity, including LinkedIn and internal communication channels.
  • Assist with business development initiatives and client pitch submissions.
  • Coordinate presentation production with internal creative and business development teams.
  • Organise client and team events from concept through to delivery.
  • Manage venue research, invitations, attendee communications, collateral and event logistics.
  • Represent the team at events and assist with client hosting.

Requirements

  • 3+ years' experience in an Executive Assistant, Team Assistant, Operations or Administrative Support role.
  • Strong experience supporting senior stakeholders and managing complex diaries.
  • Excellent organisational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite, including Word, PowerPoint, Excel and Outlook.
  • Experience within a professional services, property, real estate or corporate environment would be advantageous.
  • Highly organised with exceptional attention to detail.
  • Confident managing multiple priorities in a fast-paced environment.
  • A strong communicator with excellent stakeholder management skills.
  • Proactive, resourceful and solutions-focused.
  • Comfortable working independently while collaborating effectively with colleagues.
  • Professional, discreet and able to handle confidential information.
