About the Role
As the Head of Administration, you will be responsible for ensuring and further developing our organizational and administrative processes. Together with a team of about ten people, you will lead the areas of Finance, Controlling, Human Resources, Legal, IT & Data Protection, Procurement, and Facility Management. You are part of our Executive Management Team, report directly to the Management Board, and represent them to internal and external partners. You see yourself as a strategic leader who takes on operational responsibility and leads your team in a motivating and innovation-oriented manner. Your goal: economic stability, transparent processes, and an efficient organization.
Responsibilities
- Overall responsibility for financial planning, accounting, and the preparation of the annual financial statements.
- Management of payment transactions, cash flow management, and the use of public and other funding.
- Preparation and monitoring of a rolling 3-year budget, including quarterly reports.
- Strategic advice to the management board regarding financial sustainability.
- Support for your teams in budget preparation, monitoring, and reporting according to accounting, legal, and contractual requirements.
- Further development of our digital administrative processes, including the use of modern AI tools.
- Maintenance and updating of organizational guidelines, contracts, and project foundations.
- Establishment and maintenance of an effective compliance and risk management system.
- Main point of contact for all data protection matters.
- Ensuring a stable and secure IT infrastructure, including the management of external service providers.
- Optimization of internal data and knowledge management.
- Development and implementation of modern HR strategies, including non-discriminatory recruitment, safeguarding, and employee well-being.
- Responsibility for efficient HR processes (onboarding, payroll, offboarding, and more).
- Support and management of administrative functions in our country offices within a matrix structure.
- Promotion and further development of the three subordinate teams and their managers.
- Optional: Responsibility for the organization-wide development of our managers.
Requirements
- Several years of management experience in administration, ideally in an international, non-profit organization.
- Strong strategic and analytical thinking skills, as well as organizational talent.
- Experience in change processes, organizational development, and digitalization (preferably with Microsoft Business Central).
- Sound knowledge of accounting, controlling, and financial management of non-profit organizations (including HGB, non-profit law, public donor procurement guidelines).
- Proficient in legal frameworks (contract, labor, procurement, non-profit, and data protection law).
- Empathetic, resilient leadership personality with a clear communication style, decisiveness, and the ability to incorporate different perspectives.
- Hands-on mentality and competence in dealing with complex structures.
- Fluent German and English language skills, both written and spoken.
