About the Role
The Associate Billing Coordinator supports Japanese customer billing operations, ensuring accuracy and operational excellence. This role involves close collaboration with Sales, Billing Specialists, and other stakeholders to manage billing documentation and order processing.
Responsibilities
- Support Japanese customer billing operations by reviewing, validating, and processing billing related documentation and paperwork to ensure accuracy and compliance with internal policies.
- Process standard customer orders and complete invoicing activities to support billing targets and operational objectives.
- Assist in ensuring Revenue Recognition criteria and required documentation have been met prior to order booking.
- Troubleshoot and escalate order management and billing-related issues to support timely invoicing and cash collection objectives.
- Respond to internal customer and stakeholder inquiries regarding billing processes, documentation requirements, internal controls, and policies.
- Follow all internal controls, procedures, and policies related to order processing and billing.
- Collaborate with Sales, Billing Specialists, and cross-functional teams to support efficient order to-bill processes.
- Identify and support continuous improvement initiatives, including process enhancements and automation opportunities.
- Deliver on other priorities and assignments as required to support Billing Operations delivery excellence.
Requirements
- University / College education in a relevant discipline (Finance, Accounting, Business Administration, or related field considered an asset).
- 0-2 years of experience in billing operations, order management, customer support, finance, accounting, administration, or a related business environment; relevant education will also be considered.
- Fluent verbal and written Japanese language skills are required.
- English language proficiency is an advantage.
- Customer service experience with the ability to effectively support internal and external stakeholders.
- Good working knowledge of Microsoft Office applications.
- Experience with SAP, Salesforce, or other billing/order management systems is an advantage.
- Basic understanding of billing processes and accounting principles is preferred.
- Experience reviewing contracts, legal agreements, purchase orders, or customer documentation is an asset.
- Detail-oriented and results-focused, with the ability to manage multiple priorities and work effectively under deadlines.
- Strong verbal and written communication skills with the ability to present information clearly and professionally.
- Strong organizational and problem-solving skills.
- Self-starter with a positive attitude and strong teamwork abilities.
- Demonstrated willingness to learn, embrace change, and adopt best practices in billing operations and process improvement.
- Experience supporting Japanese customers or working in a Japanese business environment is an advantage.
