About the Role

The Human Resources Coordinator performs a variety of administrative and clerical tasks to support the Human Resources Department's operations, including pre-employment, onboarding, training, benefits administration, and claims intake. This role requires independent research, strong problem-solving skills, and intermediate knowledge of HR policies, procedures, and employment laws. The position involves handling sensitive information and interacting with various internal and external stakeholders to maintain a compliant and welcoming workplace.

Responsibilities

  • Serve as the primary customer service point of contact for employee inquiries and requests.
  • Coordinate pre-employment background checks, fingerprint appointments, and PPD scheduling.
  • Assist with the explanation and coordination of employee benefits for new hires and all employees.
  • Perform setup, data entry, and updates in HRIS, benefits, and training portals.
  • Maintain and update employee information in HRIS, training database, and other systems.
  • Respond to HRIS questions from employees and internal teams, resolving access and password issues.
  • Prepare and maintain employee files, including filing, scanning, and archiving records.
  • Manage the E-Verify I-9 process and maintain I-9 files.
  • Manage the HR Mailbox by responding to inquiries and filtering them to the appropriate HR contact.
  • Handle leave of absence and workers’ compensation intake processes.
  • Prepare and process employment verification requests and unemployment claims.
  • Generate reports, review data outputs, and identify discrepancies.
  • Manage departmental supply requisitions and inventory, and process expense reimbursements.
  • Serve as a point of contact for internal departmental compliance audits, and for Finance, Payroll, and other HR-related audits.
  • Participate in audit support, system testing, and troubleshooting efforts related to HR processes and data quality.
  • Cooperate with HR team members on departmental compliance audits, special projects, and initiatives.
  • Collaborate with the HR team, providing administrative assistance for onboarding, LOA administration, and workers’ compensation.
  • Serve as backup support in Human Resources and Recruitment as needed.
  • Contribute to projects and initiatives to improve departmental efficiency.
  • Maintain an environment of positive employee relations by upholding confidentiality, trust, approachability, and fairness.
  • Perform other duties and responsibilities as assigned by supervisor or designee.
  • Pivot with ever-changing priorities and newly added job-related responsibilities based on business changes, needs, and demands.
