About the Role

Pella Windows & Doors is seeking a Showroom Experience Coordinator to serve as the first point of contact for customers visiting or calling their Austin showroom. This role involves creating a welcoming experience, qualifying customer needs, scheduling appointments, supporting sales activities, and assisting homeowners in finding solutions to enhance their homes.

Responsibilities

  • Serve as the first point of contact for showroom visitors and incoming customer calls.
  • Welcome customers and create a positive, professional showroom experience.
  • Understand customer needs and qualify opportunities by asking thoughtful questions.
  • Schedule appointments for Outside Sales Representatives.
  • Enter and maintain accurate customer information in CRM and lead management systems.
  • Follow up with customer inquiries and showroom leads.
  • Set clear expectations regarding the window and door replacement process.
  • Assist customers with service-related requests and inquiries.
  • Maintain an organized, clean, and inviting showroom environment.
  • Assist with product displays, literature, and sample inventory.
  • Coordinate resolution of showroom facility needs and maintenance issues.
  • Monitor office and showroom supply levels and submit replenishment requests.
  • Support special events, home shows, and showroom presentations as needed.
  • Provide administrative support to Outside Sales Representatives and management.
  • Prepare reports, track leads, appointments, and showroom activity.
  • Assist with quoting, customer communications, and order-related inquiries.
  • Research and communicate accurate product information.
  • Support onboarding and showroom training activities when needed.
  • Occasionally process customer deposits and sales transactions.

Requirements

  • High school diploma or GED.
  • 1+ years of customer service, retail, hospitality, administrative support, or related experience preferred.
  • Strong verbal and written communication skills.
  • Professional phone, email, and customer-service etiquette.
  • Strong organizational skills with excellent attention to detail.
  • Ability to multitask in a fast-paced environment.
  • Positive, team-oriented attitude with a strong desire to learn.
  • Proficiency in Microsoft Office including Outlook, Word, and Excel.
  • Ability to quickly learn CRM systems and internal business software.
  • Experience in home improvement, construction, building materials, or related industries is preferred.
  • Experience supporting sales teams or managing customer appointments is preferred.
  • Knowledge of windows, doors, or construction terminology is helpful but not required.
