About the Role
Care Coordinators are the heartbeat of the clinic, setting the tone for the patient experience by being organized, warm, and professional. This fast-paced, multi-tasking role allows for direct impact on patients and the clinical team.
Responsibilities
- Create a welcoming, professional first impression for patients, visitors, and referral sources
- Manage front desk operations including patient check-in, check-out, scheduling, insurance verification/authorization, and phone calls
- Review, schedule, and follow up on incoming referrals by gathering information, creating or updating patient records, and helping patients understand next steps
- Keep patient flow and schedules moving by confirming appointments, working waitlists, filling cancellations, and following up with patients who need future visits
- Collect copays, balances, and other patient payments accurately and professionally, including basic payment tracking or reconciliation when needed
- Protect patient privacy and uphold HIPAA standards in all front desk interactions and documentation
Requirements
- Genuinely enjoys helping people, thrives in a busy environment, and takes ownership of work
- High School Diploma or GED required
- 1+ year of experience in a customer-facing or patient-facing role (retail, hospitality, call center, medical reception, or similar)
- Demonstrated ability to manage multiple tasks at once while staying organized and detail-oriented
- Comfortable and confident communicating on the phone, including handling upset or frustrated callers with patience and professionalism
- Basic computer proficiency: comfortable learning new systems, navigating scheduling software, sending emails, and working in spreadsheets
- No prior medical experience required — comprehensive training provided
