About the Role

Talent Operations at Octopus is crucial for maintaining candidate satisfaction, facilitating global hiring, supporting recruiters, and ensuring systems, data, and processes are effective. This role is ideal for someone transitioning from recruitment to operations or seeking to advance their talent operations career, aiming to enhance work processes and build a fast, smart, human, and magical global talent experience.

Responsibilities

  • Champion candidate love by ensuring fast, kind, clear, and human responses throughout the hiring process.
  • Track candidate experience metrics such as response times, ghosting, feedback themes, Lever CX, Glassdoor, and escalation trends.
  • Ensure candidate issues are resolved and learnings are shared to drive continuous improvement.
  • Help improve the talent tech stack, including Lever, LinkedIn Recruiter, Notion, Slack, Metaview, Glassdoor, and job boards.
  • Evaluate how tools work together to identify areas for simplification, clarity, or increased usefulness.
  • Challenge tools that do not improve speed, quality, insight, or candidate love, and test new impactful tools.
  • Build and improve reporting for the Head of TA and business, focusing on candidate love, response times, requisitions, headcount, Lever CX, Glassdoor themes, and source quality.
  • Generate useful insights from data to improve hiring decisions, enhance candidate experience, and identify problems early.
  • Constantly analyze the user experience of the hiring process by speaking with candidates and stakeholders, observing bottlenecks, and reviewing feedback.
  • Improve end-to-end hiring workflows, leveraging AI and technology to enhance recruiter efficiency and improve quality without compromising candidate experience.
  • Maintain Lever as a clean, useful, and trusted system by ensuring data accuracy and building reporting on its effectiveness.
  • Support the Talent team by removing friction, improving tools, creating clearer reporting, and simplifying processes.
  • Educate hiring managers on feedback quality, Lever usage, candidate experience, and hiring processes.
  • Collaborate with various teams including Talent leaders, Ops, Marketing, Finance, and data teams.

Requirements

  • A deep care for candidates and candidate experience.
  • Recruitment operations experience, ideally in a fast-moving, high-volume, or global business.
  • A brilliant understanding of ATS systems, especially Lever or talent tooling.
  • Reporting and data skills: ability to transform messy information into useful insights and clear actions.
  • A continuous improvement mindset: identifying friction, questioning processes, and implementing enhancements.
  • A strong eye for detail, recognizing its importance in Talent Operations.
  • Curiosity about AI, automation, and talent technology, with a focus on prioritizing human experience.
  • Simple communication style: ability to explain complex workflows clearly.
  • A collaborative mindset ('no functional shoulder pads') focused on shared goals.
  • Proactive approach: ability to take initiative, make progress, and not wait for perfection.
  • Belief in simplicity: favoring straightforward solutions over complexity.
