About the Role
The Project Manager/Coordinator supports the Corporate Internal Audit team, specifically the Internal Audit Leadership Team, by ensuring effective department operations and coordinating key governance activities. This role manages complex calendars, Audit Committee and Board deliverables, department communications, and action item tracking to ensure priorities are executed efficiently and on time. The role also supports strategic initiatives, audit observation follow-up, stakeholder engagement, executive reporting, and the operational cadence of the Internal Audit function. Acting as a central coordination point across Internal Audit, management, and key stakeholders, this individual drives accountability, consistency, and execution across departmental initiatives, including meeting logistics, materials preparation, minutes, routing, and timely submissions. Success requires exceptional organizational and communication skills, sound judgment, discretion with confidential information, proactive problem-solving, and the ability to anticipate needs and drive follow-through in a fast-paced environment. Advanced proficiency with PowerPoint, Excel, Teams, and SharePoint is required.
Responsibilities
- Planning and scheduling various project workloads.
- Gathering and analyzing information to prepare status reports.
- Ensuring assignment and scheduling of work follows company policy.
- Evaluating current procedures and recommending changes to improve efficiency of planning and scheduling of projects.
- Tracking and recording costs through work orders and invoices.
- Ensuring all project steps and activities are properly documented and closed in scheduling systems.
- Researching, monitoring, and analyzing data to produce business insights and action recommendations.
- Coordinating work of cross-departmental teams to ensure project objectives are achieved and timelines are met.
- Following up with various stakeholders to ensure all project plans are executed as expected.
- Serving as a central point of contact to routinely relay, facilitate, and keep stakeholders apprised of the project’s status and respond to questions or inquiries regarding the project.
- Maintaining open communications and relationships with clients as well as the project team.
- Coordinating and conducting meetings as appropriate.
Requirements
- Demonstrated success in managing small to medium scale projects.
- Gains exposure to some of the complex tasks within the job function.
- Occasionally directed in several aspects of the work.
- Strong organizational and time management skills to manage multiple projects or competing deadlines.
- Attention to detail and the ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to research issues, prepare evaluations on problems, and recommend viable solutions.
- Demonstrated experience in collecting and analyzing data, with skill in optimizing work processes.
- Excellent communication skills, both oral and written, and interpersonal skills are required to effectively communicate with internal and external stakeholders.
- Demonstrated skills in project tracking and management projects.
- Intermediate knowledge of software used to manage, analyze and present data, preferred.
- Knowledge of and experience with department functions, programs and practices.
- Demonstrated capability to communicate and work effectively at all levels of the organization, inspiring respect and credibility.
- Ability to observe confidentiality.
- Up to 25% travel, primarily within NY State.
- May attend a variety of meetings, conferences, seminars during and outside of normal business hours.
- Ability to visit customer sites and NYPA facilities.

Salary/Compensations
- $83,000 - $104,000
