Responsibilities

  • Manage the agency purchasing credit card, placing and paying for approved purchase orders in a timely manner.
  • Reconcile the monthly statement in accordance with agency protocols for purchasing and approvals.
  • Manage the agency centralized purchasing programs.
  • Research available products and services to obtain the best combination of quality, price, and delivery.
  • Ensure timely completion and submission of transactions, reviewing for accuracy.
  • Problem-solve, work independently, and share knowledge with others.
  • Post transactions on a regular basis and perform reconciliations to ensure accuracy.
  • Independently review accounts to follow up on outstanding issues or coding irregularities.
  • Track and report transactions to create concise managerial reports.
  • Perform account reconciliations independently and assist others as needed.
  • Understand debit and credit concepts for monthly and yearly reconciliations and analysis for auditors.
  • Utilize computer skills including word processor, spreadsheet, and database software for file maintenance.
  • Create and design useful spreadsheets and databases independently or with minimal assistance.
  • Lead and work effectively in a team environment as well as independently.
  • Assist and train others to perform a variety of job functions.
  • Communicate effectively, openly, and honestly with staff and leaders.
  • Identify and communicate any noted variances or changes in transaction trends or nature to assist with expense or revenue monitoring.
  • Maintain all documentation and keep all filing up to date.
  • Back up other positions within the Finance unit.
  • Perform other duties as assigned.

Requirements

  • Minimum 3 years' purchasing experience preferred.
  • Excellent problem-solving skills.
  • Excellent computer skills (Proficient in Excel).
  • Excellent organization skills.
  • Excellent communication skills.
  • Ability to work both independently and in a team environment.
  • Must be capable to sit or stand in front of a computer for long periods of time.
  • Able to work in an open space floor plan.
  • Work alongside co-workers within 3 feet.
  • Must be able to move in tight spaces.
  • Occasional lifting of >25 pounds.
