About the Role

The Payroll Coordinator supports the administration of the payroll function, including processing employee, member parental leave assistance program, and bencher payrolls, along with related source deductions and remittances. This role also involves preparing pension and benefits remittances, processing payroll-related journal entries, reconciling General Ledger accounts, and supporting T4, T4A, EHT, and WSIB reporting. Additionally, the position is responsible for reviewing and processing bencher expense claims, updating the bencher attendance tracking database, and corresponding with benchers and external stakeholders.

Responsibilities

  • Supports the administration of the payroll function.
  • Processes employee, member parental leave assistance program, and bencher payrolls.
  • Manages related source deductions and remittances.
  • Prepares pension and benefits remittances.
  • Processes payroll-related journal entries.
  • Performs General Ledger account reconciliations.
  • Supports T4, T4A, EHT, and WSIB reporting processes.
  • Maintains payroll and related files and information.
  • Reviews and processes bencher expense claims.
  • Updates the bencher attendance tracking database.
  • Communicates with benchers on expense claim matters.
  • Communicates with external stakeholders such as the payroll service provider, benefits carriers, and auditors.
  • Assists in preparing required reporting for benchers and the Audit & Finance Committee.
  • Handles ad hoc reporting requests for Senior Management and other Committees.
  • Contributes to the development and implementation of integrated payroll processes.
  • Communicates appropriate payroll processes to client departments.
  • Reviews and verifies payroll information.
  • Provides detailed information and reports as required.
  • Responds to client inquiries and follows up to ensure resolution of complaints.
  • Stays informed about Law Society by-laws and policies, and Canada Revenue Agency statutes, legislation, and regulations.
  • Communicates the application of relevant statutes, legislation, and regulations to employees and benchers.
  • Prepares written communication to benchers and adjudicators related to expense and remuneration matters.
  • Acts as a subject-matter expert on payroll systems, bencher expense reimbursement, and associated guidelines.
  • Identifies opportunities for improvements within the payroll function.
  • Develops approaches to address identified opportunities.
  • Monitors and assists in improving and implementing new payroll processes and systems.
  • Processes and validates parental leave, employee, and bencher payroll and benefits information.
  • Assists the Payroll Specialist in processing Law Society payrolls.
  • Extracts information from the time and attendance application.
  • Analyzes and questions payroll information, following up for clarification.
  • Processes a full range of transactions and exchanges information with service providers, financial institutions, client departments, employees, members, and benchers.
  • Administers retirements, terminations, and individual record changes.
  • Prepares journals for posting to sub-ledger and general ledgers.
  • Uploads information into the Law Society’s financial system.
  • Reviews bencher expense claims for authorization and reasonableness.
  • Allocates expense claims to appropriate categories and processes for payment.
  • Ensures accuracy and completeness of expense claims details.
  • Follows up with benchers to confirm information.
  • Reconciles approved claims and remuneration payments.
  • Processes approved bencher activity sheets for remuneration purposes.
  • Calculates appropriate statutory deductions and processes them in the payroll system.
  • Generates canned and develops custom reports using applicable reporting tools.
  • Actively participates with other members of the department in department-wide projects.
  • Collaborates with the Payroll Specialist to complete the daily operation of the department.
  • Takes direction from the Payroll Specialist regarding Payroll policies, processes, and best practices.
  • Works cooperatively with client department staff to clarify information and provide assistance.
  • Provides accurate and timely service to benchers, employees, clients, and customers.
  • Demonstrates flexibility and commitment to the team to maximize resources and support co-workers during peak periods.

Requirements

  • Minimum of 4 years previous related experience in a computerized payroll and benefits administration environment.
  • Solid understanding of general accounting functions.
  • Solid understanding of payroll processes and relevant legislation.
  • Solid understanding of benefits administration.
  • Solid understanding of source deduction and government remittance procedures.
  • General understanding of general accounting functions, including GAAP / CICA guidelines, accounts payable and financial reporting.
  • Solid understanding of Law Society by-laws and policies as they apply to bencher remuneration, expense reimbursement, payroll, and related internal controls.
  • Professional communication skills with the ability to speak and write in a clear, articulate manner.
  • Ability to reason through moderately complex spoken and written information.
  • Thorough knowledge of automated payroll systems and absence management applications.
  • Thorough knowledge of personal computers and software applications related to a computerized accounting environment.
  • Proficiency in spreadsheet analyses in support of the finance function.
  • Proficiency in report writing applications.
  • Knowledge of reporting tools such as Crystal reports.
