About the Role

The Program Manager will be responsible for the overall clinical, operational, and administrative management of the Etobicoke Residential/Clinic Program, ensuring high-quality client care, staff leadership, program performance, and compliance with Bayshore policies and professional standards.

Responsibilities

  • Support client admissions, discharges, and care planning.
  • Coordinate treatment plans, rehabilitation programming, and daily schedules.
  • Facilitate access to healthcare services, equipment, medications, and other client needs.
  • Oversee medication management and clinical documentation.
  • Lead case conferences, staff meetings, and program rounds.
  • Provide Rehabilitation Therapist coverage when required.
  • Assist with the development and implementation of policies, procedures, and rehabilitation models.
  • Address client behaviour and risk management concerns, including aggression, elopement, and inappropriate behaviours.
  • Participate in the on-call rotation.
  • Maintain professional, timely verbal and written communication with internal team, as well as clients, families, funders, referral sources, insurers, lawyers, case managers, physicians, health care professionals, and external clinicians regarding client care.
  • Foster positive relationships with all stakeholders, providing excellent customer service.
  • Represent Bayshore ICS NRIO professionally and positively within the community.
  • Provide strong leadership, direction, and supervision to frontline paraprofessional field staff, in accordance with established policies and procedures.
  • Monitor staffing requirements and proactively recruit to maintain adequate staffing levels.
  • Ensure staff compulsory training requirements are met in collaboration with clinical/senior leadership and human resource personnel.
  • Proactively implement additional training as needed to ensure staff are qualified and able to contribute to high-quality service delivery.
  • Engage in proactive and routine performance management, including goal setting, probationary and annual evaluations, performance improvement plans in consultation with senior leadership and human resources.
  • Develop and distribute weekly staff schedules.
  • Manage time-off requests in accordance with policies and procedures.
  • Collect, verify, and authorize all staff timesheets and expenses; forward to the Payroll Administrator by established deadline.
  • Participate in proactive health & safety activities while performing all duties.
  • Maintain compliance with established health & safety protocols and procedures including inspections, fire drills, infection prevention and control measures, etc.
  • Notify immediate supervisor of any health & safety risks or concerns.
  • Understand and facilitate the services ICS NRIO markets and provide innovative input.
  • Participate in research, marketing, and education presentations as required.
  • Participate in ongoing internal and/or external continuing education activities.
  • Monitor and report on program outcomes, key performance indicators, and quality metrics to support continuous improvement and organizational objectives.
  • Manage the identified clinical program budget in consultation with senior leadership.
  • Complete petty cash and relevant billing procedures, participating in routine audits and ensuring accuracy and accountability.
  • Manage designated facility, ensuring completion of necessary maintenance and repairs.
  • Effectively use and maintain information management systems (public drive, intranet, etc.).
  • Other duties as requested.

Requirements

  • 3-5 years of progressive experience in a rehabilitation healthcare field.
  • Strong leadership in clinical and program development.
  • Ability to handle all aspects of client and employee standards of care.
  • Ability to interpret company Policies and Procedures.
  • Knowledge and/or experience working with individuals with mental health issues, dual diagnoses, behavioural issues, chronic pain, and addictions.
  • Above average initiative.
  • Above average organization skills.
  • Ability to communicate effectively verbally and in writing.
  • Creativity.
  • Resourcefulness.
  • High level of emotional stability and maturity.
  • Technological literacy, ability to operate business machines and software is essential.
  • G driver's license, vehicle, and appropriate insurance to transport clients (as needed) and/or travel between locations is required.

  • Flexibility: hours can vary depending on client census and are to be adapted to clients and their programs, which may require evenings and weekends, as well as remote availability for emergencies and crisis situations.
  • New hires may be required to provide proof of vaccination against illnesses such as COVID-19, Hepatitis, Seasonal Flu etc. (dependent upon Provincial government regulations and position).
