About the Role

PRA is seeking an Event Producer to manage the logistical and operational execution of client events. This role serves as the primary client contact post-sale, ensuring client expectations are exceeded and promoting satisfaction and retention.

Responsibilities

  • Manage logistical and operational execution of client events and programs.
  • Serve as the primary client contact during pre-planning and program operation.
  • Meet with Sales team to review client program details.
  • Manage program changes during pre-planning and on-site, including negotiation and up-selling.
  • Manage the expected gross margin for the event.
  • Order, confirm, and re-confirm all suppliers, developing relationships and negotiating terms.
  • Ensure timely deposit receipt and completion of billing.
  • Determine Field Staff work assignments based on program schedule and needs.
  • Prepare and distribute trip sheets and program information to Field Staff.
  • Participate in recruiting and training Field Staff.
  • Coordinate and process Field Staff paperwork, including timesheets and expense reports.
  • Maintain inventory of field staff uniforms and materials, coordinating purchases.
  • Complete all program production paperwork.
  • Assist Experience Designers with program development.
  • Manage cost preparation, program summaries, deposit invoices, and related correspondence.
  • Forward necessary program information to hotel and venue representatives.
  • Conduct pre-con meetings with clients and hotels to review program details.
  • Keep Regional and Global Sales Managers informed of opportunities and program changes.
  • Take prompt corrective action to ensure successful delivery of client objectives.

Requirements

  • Bachelor's degree or equivalent relevant experience.
  • 3 years of experience overseeing the execution of corporate meetings, client events, and complex programs.
  • DMC, corporate incentive travel, hospitality, or related experience highly preferred.
  • Ability to manage operations functions and effectively supervise and direct Field Staff.
  • Excellent interpersonal and communication skills with diverse groups.
  • Ability to read, analyze, and interpret client proposal requirements, contracts, and financial reports.
  • Ability to effectively present information and respond to questions.
  • Ability to multitask and work on multiple programs with different deadlines.
  • Ability to work well with all levels of management, staff, hoteliers, venue staff, clients, and supplier partners.
  • Working knowledge of local attractions, hotels, parks, venues, and supplier partners.
  • Ability to locate and vet new venues and supplier partners.
  • Must be able to work flexible hours including weekends, evenings, and holidays.
  • Travel required to support the region in Seattle and other Northern California cities, and PRA system as needed.
