About the Role
The Office Administrator will support various departments by ensuring the organization, execution, and upkeep of essential office functions. The ideal candidate is familiar with data entry, filing, and computer systems, and possesses a thorough understanding of business logistics and executive team coordination.
Responsibilities
- Answering phone calls and directing callers to the correct point of contact
- Greeting and directing employees and guests onsite
- Ordering, stocking, and maintaining inventory of office and kitchen supplies
- Planning, ordering, and presenting employee lunches and functions
- Receiving, sorting, scanning, and distributing mail and FedEx/UPS packages
- Receiving, alerting, and distributing deliveries
- Coordinating daily use, supplies, and maintenance for Print, Scan, and Shred equipment
- Scanning receipts, uploading, and saving expense reports via Concur
- Creating, maintaining, and updating the conference room calendar
- Tracking key distribution for office staff
- Providing executive team assistance with scheduling, ordering, organization, hotel reservations, travel plans, and other administrative tasks
- Performing additional duties and responsibilities as assigned
Requirements
- 3+ years of experience
- High School diploma or equivalent recommended, but not required
- Dual language proficiency in English and Spanish
- Must be organized with a detail-oriented mindset
- Must be positive, friendly, and professional
- Ability to work well with others in a group or one-on-one setting
- Must demonstrate professional communication skills when contacting employees, managers, and clientele for information or documentation
- Willingness to take on additional tasks and responsibilities as they arise
- Excellent time management skills and ability to prioritize and complete various tasks in a timely manner
- Ability to perform duties independently
- Promote a team approach and maintain dialogue with all employees to exchange information and gather ideas
- Collaborate with project teams on other special initiatives, as required
- Must comply with the company's drug and alcohol testing requirements
- Requires periodic participation and attendance at company events and meetings
