About the Role
This is a hands-on, varied role at the heart of a growing team, supporting the CEO and Chief Events Officer, and acting as the central point of support for the wider team. It offers exposure across HR, systems, and events.
Responsibilities
- Manage diaries, coordinate meetings, and book travel for the CEO, Chief Events Officer, and the wider team.
- Prepare presentations, templates, and branded materials using PowerPoint, Canva, or similar tools.
- Manage team expenses and general administration for the directors.
- Handle confidential personal matters for the directors with discretion.
- Coordinate onboarding and offboarding logistics, including new starter and leaver arrangements.
- Maintain attendance records and set up new starters on Breathe HR (HRIS).
- Administer pension enrollment and the Benenden Health Scheme.
- Set up and track mandatory training via iHASCO.
- Coordinate IT setup for new starters and equipment return/removal for leavers.
- Act as the day-to-day contact with the outsourced IT helpdesk provider.
- Set up new users on the CRM system.
- Act as the central point of support across the business and ensure the office runs smoothly.
- Organize team-building activities, birthdays, and internal team events.
- Coordinate client dinners and roundtables with the events team.
- Manage general facilities and office operations within the WeWork space.
- Support the Chief Events Officer with flagship annual events and additional roundtables.
- Work closely with the Chief Events Officer on logistics, supplier coordination, and on-the-day support.
Requirements
- Previous experience as an Executive Assistant or Team Assistant in a private sector SME, supporting senior directors.
- Strong organizational skills, including experience in team event management.
- Experience managing team expenses and coordinating team travel.
- Proven experience with Microsoft 365, particularly PowerPoint and SharePoint.
- Curiosity about AI tools for efficiency, cost reduction, and improved outcomes.
- Positive and collaborative attitude.
- Confidence in clear communication and ability to engage with senior stakeholders.
- Strong administrative ability and attention to detail.
