About the Role

The Executive Assistant to the Permanent Representative provides dedicated executive support services, including event management, to the Permanent Representative (PR), who is the Head of the Mission in New York. This role ensures the PR's schedule is up-to-date and proactively managed, anticipating needs such as briefing packs and follow-ups. It also involves supporting the delivery of PR-hosted events and collaborating with team members on corporate support functions for the smooth operation of the Mission. The role requires comfort with various technology platforms, including website content uploads and social media updates, and effective forward planning for seamless support during busy periods.

Responsibilities

  • Ensuring the PR's schedule is kept up to date and proactively managed
  • Anticipating needs including briefing packs and follow ups
  • Delivery of PR hosted events at the New Zealand Mission and Official Residence
  • Working with other team members on corporate support functions
  • Providing support across various technology platforms including uploading statements onto our website and sharing social media updates
  • Forward planning effectively to ensure seamless delivery of support during busy periods
  • Preparing briefing packs
  • Financial reporting
  • Credit card reconciliations
  • Stakeholder management
  • Other corporate business obligations
  • Supporting the use of and maintaining technology platforms for internal and external communications – e.g. Zoom meetings, websites, social media platforms

Requirements

  • Must be a New Zealand Citizen
  • Able to obtain and maintain an appropriate New Zealand Government Security clearance
  • If required, the successful applicant can be supported with a G visa to undertake this position

Salary/Compensations

  • USD$57,782 – $78,176 total remuneration
