About the Role
The Legal Support Assistant will be a critical part of Alston & Bird’s world-class professional service staff, delivering a high level of customer service and supporting internal and external clients. This role requires exceptional organizational skills, strong attention to detail, advanced analytical capabilities, and the ability to manage multiple priorities in a fast-paced professional services environment. The successful candidate will serve as a key resource in supporting client service initiatives, reporting and data analysis, expense management, travel coordination, and a wide range of administrative functions.
Responsibilities
- Collaborate with attorneys, Legal Administrative Assistants, and other business professionals to provide comprehensive administrative support and assist with department initiatives, special projects, and time-sensitive assignments.
- Prepare, analyze, and maintain complex client and matter-related reports, including billing rate analyses, client activity reports, and productivity metrics.
- Reconcile and validate client-level statistical reports, ensuring accuracy and completeness of data across multiple systems.
- Process, review, and track business development, client entertainment, and travel expense reports in accordance with firm policies.
- Accurately enter, review, and revise attorney time entries, ensuring timely and compliant submission.
- Coordinate domestic and international travel arrangements, including itineraries, transportation, accommodations, and supporting documentation.
- Manage conference room scheduling and meeting logistics, including catering, audiovisual requirements, and attendee coordination.
- Draft, proofread, edit, and format client correspondence, legal and administrative documents, and presentations with a high level of accuracy.
- Process incoming and outgoing mail, courier shipments, and overnight deliveries, ensuring timely handling of sensitive materials.
- Coordinate and oversee large-scale mailing and distribution projects, including managing mailing lists and event materials.
- Maintain and update databases, client records, and electronic filing systems; organize and manage digital documents; and assist with document production and records management.
- Utilize strong analytical, organizational, and problem-solving skills to identify discrepancies, streamline administrative processes, and improve operational efficiency.
- Handle highly confidential and sensitive information with discretion while demonstrating professionalism and sound judgment.
- Work additional hours as needed to meet business demands and support time-sensitive client and practice group requirements.
Requirements
- A bachelor's degree from an accredited four-year college or university is required.
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook is highly desirable.
- Experience working with reporting tools, databases, document management systems, and legal technology platforms is a plus.
- Demonstrated success in an administrative role requiring both high-level organizational skills and strong analytical acumen.
- Professional business references and a background screening will be required for all final applicants selected for a position.
Skills
- Advanced proficiency in Microsoft Office applications, with a particular emphasis on Excel for data analysis, reporting, reconciliation, and information management.
- Strong working knowledge of emerging AI and productivity tools, including Microsoft Copilot and other technology solutions.
- Demonstrated ability to analyze complex data, identify discrepancies, draw logical conclusions, and provide actionable recommendations.
- Solid understanding of general office procedures, records management practices, and filing systems, with exceptional attention to detail and accuracy.
- Ability to prioritize competing deadlines, manage a high-volume workload, and adapt quickly to changing business needs.
- Strong written and verbal communication skills with the ability to interact professionally and effectively with attorneys, clients, vendors, and colleagues.
- Proven ability to work independently, exercise sound judgment, and proactively resolve issues with minimal supervision.
- Exceptional organizational, time-management, and project coordination skills.
