The position plays a critical role in maximizing the effectiveness of CEO donor engagement in support of Albany Med Health System's philanthropic goals, and requires strong judgment, discretion, and fluency in development practices, as well as upholding the utmost confidentiality. While the primary focus is the President & CEO, this role will also provide limited support to donor engagement involving the Hospital Director and Dean, as appropriate.

Responsibilities

  • Monitor outstanding action items and proactively manage timelines to maintain momentum across executive-level relationships.
  • Identify trends, opportunities, and potential risks emerging from CEO engagements and elevate insights to Foundation leadership.
  • Prepare, enter, and maintain high-quality contact reports for CEO donor interactions.
  • Update donor biographical, relationship, and engagement information in the donor database.
  • Work with Development Officers to ensure donor records accurately reflect strategy, interests, and institutional relationships.
  • Notify and collaborate with the appropriate development officer or Institutional Advancement staff following CEO interactions.
  • Coordinate next steps including follow-up meetings, proposals, stewardship actions, and solicitations.
  • Serve as a central point of coordination between the CEO’s Office and Institutional Advancement.
  • Partner closely with the Executive Assistant to the CEO to coordinate donor meetings and engagements.
  • Assist with scheduling, logistics, and preparation timelines for CEO donor interactions and other Institutional Advancement engagement opportunities.
  • Assist the VP of Institutional Advancement with materials, agendas, and briefing documents for donor strategy sessions involving the CEO.
  • Support prospect strategy meetings by ensuring clarity of objectives, roles, and follow-up actions.
  • Coordinate CEO-focused donor and board engagement activities, including Cogswell Dinner, Board Retreats, Board receptions, Board gifts and holiday cards, and other high-level cultivation and stewardship events.
  • Manage timelines, logistics, and coordination with internal and external partners for board and executive-level donor engagement.
  • Provide limited donor management and coordination support for the Albany Medical Center Hospital General Director and Albany Medical College Dean, using the same standards of documentation, follow-up, and collaboration.

Requirements
