About the Role
The Sales Coordinator supports the sales team by addressing customer needs, issues, and satisfaction. This role ensures product processes and timing meet or exceed customer expectations by utilizing internal and external resources.
Responsibilities
- Assist Inside Customer Account Managers and Regional Sales Managers to ensure customer satisfaction by tracking open orders, source materials, and coordinating deliveries.
- Perform scheduling and planning functions for new orders entered into the ERP system.
- Make decisions regarding product orders, quotes, and shipping to expedite customer requests.
- Administer daily maintenance and prioritization of product worklists within the ERP system for efficient workflow, resource utilization, and customer satisfaction.
- Communicate schedule changes based on material availability, production capabilities, etc., to ensure accurate fulfillment of customer requirements.
- Communicate with suppliers and outside processors to expedite materials and services, minimizing delays and supporting customer delivery expectations.
- Answer Outside Processors questions using internal resources.
- Act as a liaison between the sales team and warehouse operations to prioritize critical orders, resolve issues, and facilitate timely order fulfillment.
- Coordinate certificates, packing slips, and other customer-required compliance and shipment documentation.
- Support the ERP system through the creation, maintenance, and optimization of enterprise parameters and operational settings.
- Communicate directly with customers, carriers, and suppliers to resolve grievances or claims.
- Proactively and reactively solve customer and supplier issues in a manner that satisfies both the customer and the company.
- Perform other duties as assigned by management.
- Maintain regular and reliable on-site attendance.
- Operate a telephone, cell phone, photocopier, calculator, and computer for email, database/spreadsheet posting, and ERP system data entry.
- Wear appropriate personal protective equipment (safety shoes, gloves, safety glasses) when required in certain job duties.
Requirements
- Bachelor's degree in Business or a relevant field, or an AAS in Business with at least 5 years of experience in inventory control and supply chain processes in a manufacturing environment.
- Experience interacting directly with customers is preferred.
- Strong written and oral communication skills for professional and courteous interaction with customers, vendors, and employees.
- Comfortable working with both high-level managers and floor operators.
- Ability to work independently in a fast-paced, stressful environment.
- Strong problem-solving and analytical skills.
- Ability to compose and edit written materials with a high degree of accuracy.
- Must be able to multi-task and be highly organized.
- Proficiency with MS Office (Excel, Word, Outlook, and PowerPoint).
- Must possess a valid NYS driver's license.
- Close mental and visual attention required for data and figure preparation/analysis, accounting work, computer terminal use, and extensive reading.
- Ability to sit for extended periods, stand, walk, talk, hear, use hands for fine motor skills, and perform repetitive motions.
- Ability to exert up to 10 pounds of force occasionally and/or negligible force frequently/constantly to move objects.
- Travel is required on an as-needed basis to other company site locations or for other company business.
