About the Role
The Contract Administrator serves as a critical link between Sales and Production, ensuring all contracts are complete, accurate, and ready for processing. This role involves reviewing incoming contracts, verifying documentation, communicating corrections, managing job holds, converting opportunities in rForce, and maintaining digital files.
Responsibilities
- Verify customer info, product specs, pricing, permits, signatures, financing, and other required documentation.
- Identify and communicate missing or incorrect information.
- Place jobs on hold if necessary.
- Track follow-ups and escalate unresolved issues.
- Convert approved opportunities to sold orders in rForce, ensuring data accuracy.
- Upload and organize all related documents securely and systematically within rForce.
- Ensure orders meet standards before production.
- Identify error trends and support process improvements.
- Prevent billing duplicates, canceled jobs, and overlapping schedules.
- Maintain accuracy, timeliness, professionalism, and compliance in contract processing.
Requirements
- High school diploma required; degree in related field preferred.
- At least 2 years’ experience in contract/order processing or similar roles.
- Knowledge of window/door products and installation is a plus.
- Proficiency with rForce (Salesforce), Microsoft Office, and digital filing.
- Strong attention to detail, organization, communication, and problem-solving skills.
- Ability to work independently and collaboratively, managing high volumes and prioritizing effectively.
- Demonstrate professionalism, accuracy, and a commitment to operational excellence.
