About the Role
Adams Street Partners is seeking a dynamic Executive Assistant to support its Investments and Investor Relations teams in London. This role involves leading a team of Executive Assistants, leveraging strong organizational, technical, and people management skills to ensure cohesive support across teams.
Responsibilities
- Manage complex calendars and coordinate logistics across multiple global time zones.
- Lead, manage, and develop a team of Executive Assistants, providing coaching and feedback.
- Coordinate complex international and domestic travel and roadshows, including visas, flights, hotels, ground transportation, and itineraries.
- Partner with internal and external assistants to coordinate meetings and travel.
- Prioritize and manage information and correspondence, responding proactively on behalf of stakeholders.
- Anticipate needs and prepare materials for meetings, conferences, and business travel.
- Prepare and submit accurate travel and expense reports.
- Welcome clients and visitors, providing a professional experience.
- Coordinate all aspects of meeting preparation, including room setup, catering, and audiovisual requirements.
- Maintain accurate information in Salesforce, including contact details, meetings, and events.
- Provide back-up administrative support to colleagues as needed.
- Perform general administrative and office support responsibilities.
- Research, plan, and coordinate team events.
Requirements
- 6-8 years of executive assistant experience.
- At least two years of experience in a private equity or financial services environment preferred.
- Experience scheduling calendars, coordinating meetings, and managing high-volume international travel.
- Prior experience directly managing a team of Executive Assistants or administrative professionals.
- Ability to work as a hands-on leader providing executive support while managing and developing others.
- Commitment to anticipating needs and resolving issues with a professional and service-oriented demeanor.
- Respect for confidential information and a mature approach to discretion.
- Desire to learn industry context and develop industry knowledge.
- Professional presence with judgment, discretion, and communication skills to build trust.
